Your Opportunity:
We are looking for a Venture Program Coordinator to join our Venture team in Edmonton, reporting to the Program Manager. In this role, you will play a critical part in the successful delivery of Venture programs, managing contract administration, operational coordination, and continuous process improvement. You are the organizational backbone of the team, someone who thrives on detail, builds systems that actually work, and ensures founders, partners, and program participants experience a seamless and professional journey from start to finish.

What You’ll Do:
- Contract Administration & Compliance: Administer the full contract lifecycle for Venture programs, including preparing agreements, issuing contracts for signature, tracking execution status, maintaining budgets and invoice records, and ensuring complete and accurate documentation through Box Sign and internal systems.
- Financial Tracking & Forecasting: Track project budgets, invoice records, payment status, and remaining funding to support financial forecasting, reporting, and funding allocation across Venture initiatives.
- Program Coordination & Administration: Support onboarding of founders, experts, facilitators, and program participants; coordinate scheduling; manage calendars for Program Managers; prepare and distribute program communications; and track milestones, deliverables, and project reviews.
- Investment Readiness Support: Provide dedicated administrative support to the Investment Portfolio Manager, including scheduling, founder engagement coordination, intake and application management, scorecard and committee materials, and reporting for investment readiness initiatives.
- Events & Workshop Logistics: Coordinate logistics for Venture workshops, cohort sessions, and events both virtual and in person, liaising with facilitators, speakers, and vendors to ensure seamless delivery.
- Data, Systems & Process Improvement: Maintain accurate CRM records and program databases; build and improve Airtable bases, automations, workflows, and reporting tools; prepare dashboards and operational insights; and identify opportunities to streamline
What You Bring to the Role:
- Experience: 3 to 5+ years of experience in program coordination, contracts administration, operations, or administrative support.
- Attention to Detail: Exceptional ability to maintain accurate records, manage complex documentation, and identify discrepancies.
- Organizational Skills: Strong time management skills with the ability to manage multiple priorities and competing deadlines simultaneously.
- Autonomy: Demonstrated ability to work independently in a fast-paced, evolving, and often ambiguous environment with a high degree of autonomy.
- Communication: Exceptional written and verbal communication skills, with the ability to engage professionally with founders, executives, experts, partners, and internal stakeholders.
- Contract & Database Experience: Experience administering contracts, maintaining databases, and managing operational workflows.
- Technical Proficiency: Experience with CRM and workflow management systems such as Airtable, Asana, Notion, or similar platforms, along with confidence learning and building in new systems.
- Judgment & Discretion: Proven ability to exercise sound judgment, maintain confidentiality, and manage sensitive information with care.
- Education: Formal education and/or training in business administration, operations, or a related field; equivalent experience will also be considered.
