Integrated Staffing is currently recruiting for a Site Administrator for a full-time opportunity in Saint John, NB. Reporting to the Site Lead Administrator, the Site Administrator will play a key role in supporting daily site operations by coordinating payroll, purchasing, billing, reporting, and administrative functions while providing exceptional customer service to both internal teams and clients.
Key Responsibilities
- Submit requisitions for orders and enter goods receipts into the purchasing system.
- Log purchases and submit documentation for customer approvals.
- Communicate purchasing information with suppliers.
- Review, verify, and file employee timesheets, ensuring all required information is complete and accurate.
- Complete payroll time entry and process new hire and termination documentation.
- Reconcile swipe card data against employee timesheets and make necessary adjustments.
- Process, balance, and maintain weekly payroll records.
- Verify Purchase Orders and Work Orders.
- Balance daily labour hours with the customer.
- Prepare reports for supervisors and foremen as required.
- Update scaffold logs, productivity logs, and equipment movement records.
- Maintain weekly labour tracking spreadsheets for mobilizations.
- Compile employee time, production, and payroll information from timesheets and other records.
- Review payroll records to identify and resolve discrepancies.
- Verify attendance, hours worked, and pay adjustments.
- Process payroll adjustments related to previous errors or retroactive increases.
- Respond to customer requests and inquiries in a professional manner.
- Provide administrative support to site supervisors.
- Create and maintain accurate electronic and paper filing systems.
- Perform order entry and other administrative duties as assigned.
- Attend regular customer update meetings.
Qualifications
- 1–3 years of experience in purchasing, billing, payroll, timekeeping, or a related administrative role is considered an asset.
- Grade 12 diploma required; post-secondary education in Business Administration or a related field is considered an asset.
- Experience with Profield software is considered an asset.
- Health & Safety training is considered an asset.
- Previous experience in the construction industry is considered an asset.
- Intermediate proficiency with Microsoft Office, particularly Excel and Word.
- Excellent written and verbal communication skills.
- Strong organizational and time management skills with the ability to manage multiple competing priorities.
- High attention to detail and accuracy.
- Ability to interpret written, verbal, diagram, and schedule-based instructions.
- Self-motivated with a proactive, team-oriented attitude.
- Strong problem-solving and decision-making skills.
- Ability to work independently while contributing to a positive team environment.
- Adaptable and able to thrive in a fast-paced, changing work environment.
