Oakville Allergy And Asthma Specialists is looking for a Medical Office Assistant (MOA) to join our incredible team at our brand-new clinic in Oakville! We are seeking an individual with exceptional communication and organization skills, coupled with a passion for patient service. If you have experience in any medical administration role (walk-in, family practice, specialists office, etc.), we want to hear from you!
This is a full-time role (40 hours/week).
Role Objectives
- Deliver an exceptional experience to all patients upon arrival or over the phone
- Support multiple doctors and other health care professionals by performing necessary administrative tasks and nursing duties
- Perform appointment bookings, reminders, and cancellations
- Process patient referrals, manage patient information database, and ensure accuracy of medical information (ie valid OHIP numbers, etc)
- Take patients to exam rooms, and coordinate effective patient flow
- Administer allergy shots and perform allergy skin tests, as directed by the doctor
- Maintain a tidy and presentable reception area, and a safe clinic environment
- Manage inventory of medical and office supplies, and stock exam rooms accordingly
- Cleaning and sterilizing medical materials and instruments
- Measure patient vitals including HR, BP, and O2 saturation
- Liaise with other doctor offices and local hospitals to ensure completion of patient referrals or requested documents
- Frequent checking and responding to messages in the EMR from
- Perform other duties as requested by the medical team
- Accountable for all patient financial arrangements/payment plans in a professional and confidential manner
Role Qualifications
- Professionalism, positive attitude, and a self-motivator
- MOA certification from an accredited institution preferred
- Vaccine certification required (primarily for subcutaneous allergy shots)
- 1+ years of proven MOA experience in a similar clinical environment
- Experience using an EMR, and proficient in Microsoft Office Suite programs (MS Word, Excel, Outlook)
- Exceptional communication skills (both written and verbal), and strong interpersonal skills
- Ability to work as a team and independently
- Strong patient care skills, solid work ethic, impeccable organizational skills and an ability to manage competing priorities effectively while maintain efficient patient delivery
