Executive Assistant – Job Posting

We are seeking a highly organized and adaptable Executive Assistant to support the Executive Director and Board of Directors in a dynamic environment. This role combines administrative coordination with event planning, requiring attention to detail, sound judgment, and the ability to manage multiple priorities. The ideal candidate is proactive, collaborative, and comfortable working in both remote and in-person settings, contributing to effective operations and inclusive, high-quality events.
Expected start date: August 2026
Salary: $50,000 - $55,000 based on experience
Hours: 35 hours per week, 9 AM to 4:30 PM

Work environment: Work from home with some evenings and weekend hours, and some in-person
Key Responsibilities:
Administrative Support:
- Provide administrative support to the Executive Director and to the Board of Directors as directed by the Executive Director.
- Assist in managing the Executive Director and Board calendars, including scheduling meetings, appointments, and travel arrangements as needed.
- Support the preparation and distribution of meeting agendas, minutes, and supporting documents.
- Handle correspondence, emails, and phone calls.
- Maintain and organize files, both physical and electronic.
- Assist the Executive Director in preparing documents.
- Create sponsor and exhibitor contracts.
Event Coordination:
- Provide administrative support and expertise in planning and organizing conferences, workshops, and other events.
- Manage event registrations, coordinate with speakers, and handle logistics.
- Prepare event materials, including programs, name badges, and attendee lists.
- Liaise with venues, caterers, and other vendors to ensure smooth event execution.
- Prepare PowerPoint presentations.
- Support contractors and support services for virtual events, including audiovisual technical support and operation.
- Attend and support in-person events.
Membership Management:
- Handle membership inquiries and assist with membership renewal processes.
- Support the management of the membership database.
- Ensure the keeping of accurate and up-to-date membership records.
- Coordinate communication with members, including newsletters and announcements.
Financial Administration:
- Process invoices, expense claims, travel subsidy claims, and reimbursements.
- Support the bookkeeper with reports and expense forms.
Website and Social Media Management
- Publish documents, articles, and communications.
- Manage and update website content, in consultation with the Executive Director.
- Coordinate with website developer and support team when necessary.
- Create and publish social media content using media software and tools
Qualifications:
Proven experience in administrative support, event coordination, or a similar role, with strong organizational and time management skills. Able to manage calendars, communications, and documents with accuracy while coordinating events from planning through delivery, including virtual and in-person logistics. Strong written and verbal communication skills, with proficiency in Microsoft Office and online platforms; experience with databases, basic bookkeeping, and website updates is an asset. Demonstrates professionalism, discretion, and the ability to collaborate with diverse stakeholders.
Must be legally eligible to work in British Columbia.
