Position Summary
Excel Career College is seeking a proactive and organized Registrar Assistant to support the daily functions of the Registrar’s Office. This position is responsible for assisting with student records management, registration activities, compliance processes, and administrative coordination.
The successful candidate will demonstrate strong attention to detail, professionalism, and a student-centered approach while working collaboratively with faculty and administrative teams.
Key Responsibilities:
Registration & Student Support
- Support enrollment and registration processes for both new and continuing students.
- Process course registrations, schedule changes, withdrawals, and related requests accurately and efficiently.
- Respond to student inquiries regarding registration procedures, academic policies, and program information.
- Prepare and issue official documents including acceptance letters, transcripts, and enrollment verification letters.
Records Management & Reporting
- Maintain accurate student information within the Learning Management System (LMS) and institutional databases.
- Ensure student records are handled confidentially and in compliance with privacy policies.
- Assist in generating enrollment reports, student statistics, and other registrar-related documentation.
- Monitor student progression records and report discrepancies when necessary.
Collaboration & Administrative Coordination
- Work with academic departments to support course scheduling and academic calendar planning.
- Act as a resource for students, faculty, and staff regarding registrar-related questions and processes.
- Assist with graduation preparation, credential processing, and awards coordination.
Compliance & Regulatory Support
- Support adherence to institutional policies and provincial regulatory requirements, including PTIRU standards.
- Assist with audits, reporting requirements, and compliance documentation related to student records and enrollment activities.
Qualifications
- A diploma or bachelor’s degree in administration, education, or a related field preferred.
- Minimum one year of experience in admissions, registrar services, or student administration within a Canadian post-secondary institution.
- Knowledge of registration procedures, academic policies, and records management practices.
- Excellent verbal and written communication skills.
- Strong organizational abilities with exceptional attention to detail.
- Ability to manage multiple tasks in a fast-paced environment.
- Experience using LMS, SIS, or CRM platforms is considered an asset.

Pay: $40,000.00-$50,000.00 per year
