Senior Executive Assistant who has
extensive Board experience to partner directly with the President & CEO and Executive Leadership Team.
This is far more than a traditional Executive Assistant position. You'll become a trusted advisor and strategic partner responsible for ensuring the seamless operation of executive leadership and the Board of Directors. From coordinating complex governance initiatives to anticipating executive priorities, you'll play an integral role in helping senior leadership remain focused on the organization's strategic objectives.

What You'll be Doing:
Executive Partnership:
You'll serve as a trusted extension of the President & CEO, managing competing priorities while ensuring executive operations run efficiently and effectively.
Responsibilities include:
- Managing complex executive calendars, meetings, travel, and strategic priorities.
- Preparing executive briefings, presentations, reports, and confidential correspondence.
- Coordinating Executive Leadership meetings, agendas, minutes, and follow-up actions.
- Acting as the primary liaison between executives, Board members, and internal and external stakeholders.
- Anticipating leadership needs while exercising exceptional discretion and sound judgment.
Governance Leadership
You'll play a key role in supporting an engaged Board of Directors and maintaining strong governance practices across the organization.
Your responsibilities will include:
- Planning and coordinating Board and Committee meetings from start to finish.
- Preparing Board agendas, governance packages, and supporting documentation.
- Recording professional Board minutes and maintaining governance records.
- Administering the organization's Board portal and ensuring accurate document management.
- Supporting Annual General Meetings, Board retreats, and governance planning.
- Coordinating governance filings and maintaining corporate compliance documentation.
- Identifying opportunities to strengthen governance processes and Board effectiveness through evolving best practices.
- Providing organizational support
You'll also contribute to broader organizational initiatives by:
- Supporting enterprise risk management documentation and reporting.
- Building collaborative relationships across Finance, Human Resources, and other business functions.
- Improving administrative processes while ensuring the highest level of professionalism and confidentiality.
What you Bring:
We're looking for an experienced executive support professional who combines outstanding organizational skills with strong governance knowledge.
You'll ideally have:
- 8+ years supporting senior executives, ideally at the C-suite level.
- Experience supporting a Board of Directors and Board Committees within a corporate, healthcare, public sector, or not-for-profit environment.
- Strong understanding of corporate governance principles and Board administration.
- Exceptional communication skills, including experience drafting executive correspondence and formal Board minutes.
- Outstanding organizational and project coordination abilities with the capacity to manage multiple priorities simultaneously.
- High levels of professionalism, diplomacy, discretion, and emotional intelligence.
- Advanced proficiency with Microsoft 365, including Outlook, Teams, Word, Excel, PowerPoint, SharePoint, and OneDrive.
- A post-secondary education in Business, Office Administration, or a related discipline.
- A Governance Professionals of Canada (GPC) designation is considered a strong asset.
