Position: Administrative Assistant (Full-Time)
Location: In Person
As the first point of contact at our clinic, you'll play an essential role in creating a positive and memorable experience for every patient. You'll manage front desk operations, coordinate appointments, assist with insurance billing, support our healthcare professionals, and help ensure our clinic operates efficiently every day.

What You'll DoPatient Experience & Front Desk Excellence
- Welcome every patient and visitor with warmth, professionalism, and enthusiasm.
- Create a positive first impression and foster a friendly, welcoming clinic atmosphere.
- Schedule, confirm, and coordinate appointments efficiently.
- Answer incoming phone calls and respond to patient inquiries with professionalism and care.
- Assist patients with smooth check-in and check-out procedures.
- Build strong patient relationships through exceptional customer service.
- Maintain a clean, organized, and inviting reception area and clinic environment.
Administrative & Billing Responsibilities
- Maintain accurate, confidential, and up-to-date patient records.
- Verify insurance eligibility and process insurance claims accurately.
- Manage billing, payments, receipts, and patient account inquiries.
- Send appointment reminders and patient communications.
- Prepare and manage clinic documentation and correspondence.
- Order and maintain office and clinical supplies.
Customer Service & Team Collaboration
- Assist patients with questions regarding treatments, services, and clinic procedures.
- Address concerns professionally and resolve issues with empathy and efficiency.
- Gather patient feedback to support continuous service improvement.
- Work collaboratively with physiotherapists, chiropractors, massage therapists, and other clinic staff.
- Support a positive, respectful, and team-oriented workplace culture.
Technology & Clinic Operations
- Utilize clinic management software for scheduling, billing, and patient records.
- Process and manage:
- HCAI Billing
- WSIB Claims
- IFHP Billing
- Extended Health Care (EHC) Claims
- Support daily operational efficiency through strong organizational skills.
- Assist with onboarding and training new administrative team members when required.
- Ensure compliance with clinic policies, privacy legislation, and professional standards.

Preferred Qualifications
- Previous experience in a physiotherapy, chiropractic, medical, dental, rehabilitation, or wellness clinic
- Experience with patient scheduling and insurance billing
- Knowledge of HCAI, WSIB, IFHP, and Extended Health Care billing
- Bachelor's degree in a healthcare or medical-related field is considered an asset
