This front-line role is essential in ensuring our clients receive exceptional service from the moment they walk through our doors.
Working across our Halifax and Dartmouth clinics, you will be the first point of contact for clients, therapists, and community partners. If you enjoy a fast-paced environment, have excellent customer service skills, and take pride in keeping things running smoothly, we'd love to hear from you.
Position Details
- Position: Part-Time Administrative Assistant 24-30 hrs per week
- Location: Halifax & Dartmouth Clinics
- Schedule: Part-time with some evening and occasional Saturday shift as required
- Start date: Immediately
- Pay Rate: $18-$22 per hour depending on experience
Key Responsibilities
- Welcome clients and provide a warm, professional first impression.
- Answer incoming phone calls and respond to general inquiries.
- Book, reschedule, and cancel client appointments.
- Process client payments and issue receipts.
- Maintain accurate client records and appointment schedules.
- Support clinicians with administrative requests.
- Monitor and respond to emails as directed.
- Assist with daily clinic operations, including opening and closing procedures.
- Maintain a clean, organized, and welcoming reception area.
- Perform general administrative duties and other tasks as assigned.
Qualifications
- Previous administrative or reception experience, preferably in a healthcare or private practice setting.
- Experience using Jane Practice Management Software is considered a strong asset.
- Excellent customer service and interpersonal skills.
- Strong organizational skills with exceptional attention to detail.
- Comfortable working in a busy, multi-tasking environment.
- Excellent verbal and written communication skills.
- Proficient with Google and general computer applications.
- Ability to maintain confidentiality and professionalism at all times.
- Reliable, dependable, and able to work independently while supporting a collaborative team.
