Little Rock Farm Trucking is a family-owned trucking company that has grown with the transportation industry for over 28 years. Based in Walkerton, Ontario, with a yard in Okotoks, Alberta, we proudly service customers across Canada and the United States.
We are looking for a positive, organized person to support our billing and office administration team. This role is a great fit for someone who enjoys accurate paperwork, clear communication, and helping a busy trucking company keep customer billing moving smoothly.
WORK SCHEDULE
Monday to Friday, 8:00 a.m. to 5:00 p.m. Some flexibility may be required from time to time during busy billing periods or month-end deadlines.
WHAT YOU'LL DO
· Open, sort, and process driver envelopes, ensuring trip paperwork is complete and organized.
· Collect and organize PODs (proofs of delivery) and follow up on missing or incomplete paperwork.
· Maintain an accurate electronic filing system for driver paperwork, PODs, invoices, bills, and related documents.
· Prepare, review, and send customer invoices accurately and on time.
· Match invoices to loads, PODs, rate confirmations, and other supporting paperwork.
· Track unbilled loads and help keep billing schedules up to date.
· Process driver payroll using trip documents, load details, and supporting records.
· Enter invoices, bills, payments, payroll details, and related information into QuickBooks.
· Pay bills and help keep accounts payable records accurate and current.
· Manage fleet fuel records, review fuel card transactions, track fuel receipts, and follow up on missing or unusual fuel information.
· Review paperwork for discrepancies and bring concerns forward for review.
· Communicate with drivers, dispatch, customers, vendors, and the office team to resolve paperwork or billing questions.
· Provide backup support for general office administration and customer service tasks as needed.
· Help support a clean, accurate, and dependable billing, filing, payroll, and bookkeeping process.
WHAT WE'RE LOOKING FOR
· A friendly, positive attitude and professional communication with drivers, customers, vendors, and the office team.
· Strong attention to detail, accuracy, note-taking, record-keeping, and organization.
· Self-motivated, reliable, and able to manage priorities with a sense of urgency.
· Confidence using technology, including Microsoft Office, Excel, email, online portals, and electronic filing systems.
· Experience with billing, driver payroll, accounts payable, QuickBooks, data entry, trucking, or logistics is an asset.
· Ability to handle confidential information and follow consistent office processes.
