OVERVIEW
Reporting to the Manager, National Operations Administration, the Specialist plays a key role in enabling efficient day-to-day operations through disciplined coordination, accurate execution, and timely reporting. The role supports cross-functional priorities by managing action items, maintaining operational information, and contributing to continuous improvement across the National Operations team.
This is a full-time, salary paid position requiring residency in Southern Ontario, Canada.
RESPONSIBILITIES
Task Management and Operational Coordination
- Provide coordinated operational support across National Operations, ensuring priorities, action items, and deliverables are managed effectively in a dynamic environment.
- Support leadership initiatives by monitoring progress, maintaining key documentation, and driving follow-up on outstanding deliverables.
- Partner with Operations leadership and internal stakeholders to advance cross-functional priorities and ensure timely execution of executive-directed actions.
- Prepare clear, decision-ready updates, presentations, and supporting materials for leadership and stakeholder audiences.
Data Management and Reporting
- Manage operational data, trackers, and reporting tools with a strong focus on data integrity, accessibility, and version control.
- Develop and maintain reports, dashboards, and visual summaries that support operational oversight and executive decision-making.
- Analyze operational information to identify trends, support planning, and inform business decisions.
- Conduct research and analysis in support of strategic priorities, operational reviews, and continuous improvement efforts.
- Identify opportunities to strengthen reporting accuracy, automation, and overall data management practices.
- Translate complex operational data into clear, effective presentations for leadership and stakeholder audiences.
Process Mapping and Continuous Improvement
- Develop and maintain process maps, workflows, and operational documentation to support planning, execution, and process discipline.
- Support the identification and implementation of process improvements that enhance efficiency, consistency, and operational effectiveness.
- Contribute to standardized templates, reporting tools, and knowledge resources that strengthen team effectiveness and consistency.
- Document business requirements, procedures, and process changes to support alignment, continuity, and change adoption.
General Support
- Perform additional administrative, analytical, and operational tasks as required to support the National Operations team’s goals and initiatives.
QUALIFICATIONS
Education
- Bachelor’s degree in Business Administration, Operations, Data Analytics, Communications, or a related field.
- An equivalent combination of education and experience may be considered.
Experience
- 3–5 years of experience in operations support, coordination, or data management roles.
- Experience in residential blue box (printed paper and packaging) recycling operations is considered an asset.
- Experience operating in complex, multi-project environments with cross-functional stakeholder groups.
- Demonstrated ability to manage competing priorities in a fast-paced, evolving environment.
- Experience supporting senior leaders and preparing executive-level materials and reporting.
- Proven success coordinating initiatives, tracking deliverables, managing operational information, and maintaining structured documentation.
Knowledge/Competencies/Skills
- Preference will be given to candidates with a strong understanding of artificial intelligence (AI) concepts and the ability to apply and communicate AI technologies effectively in a business environment.
- Strong understanding of operational coordination, workflow management, and data governance practices.
- Ability to apply sound judgment, think creatively, and develop practical solutions that support departmental objectives.
- Advanced proficiency in Microsoft Office 365, including Outlook, Teams, Word, Excel, PowerPoint, SharePoint, and Visio.
- Experience using collaboration and project tracking tools, such as Microsoft Teams, Jira, or similar platforms.
- Strong analytical, planning, and execution capabilities.
- Excellent attention to detail and commitment to accuracy and quality.
- Strong written communication and presentation development skills.
- Ability to manage confidential and sensitive information with discretion and professionalism.
- Highly organized with strong prioritization and time management skills.
WORKING CONDITIONS
Working Hours
- All Circular Materials employees work a 40-hour week remotely from a Canadian home office.
- The incumbent must coordinate effectively with internal and external stakeholders across multiple Canadian time zones.
- Occasional flexibility in working hours may be required.
Remote and/or Field Work
- Remote working environment with the ability to travel as needed.
Travel
- The role requires residence in Southern Ontario and periodic travel to the Toronto head office or alternate locations for meetings and working sessions.
- The position also requires occasional overnight travel for site visits and in-person meetings.
- A valid driver’s license is required.
PAY TRANSPARENCY
Expected Compensation:
- An annual base salary in the range of $65,000 to $85,000
- The actual salary offered will be determined within the range, and will depend on factors, such as the candidate’s unique qualifications, relevant experience, work location and expected contributions.
