Accounts Administrator Assistant
The Accounts Administrator Assistant is responsible for processing vendor invoices, ensuring timely and accurate payments, maintaining financial records, and supporting the accounting department. This role helps ensure the organization meets its financial obligations while maintaining strong vendor relationships and compliance with company policies.
Key Responsibilities
- Receive, review, and process vendor invoices.
- Verify invoice accuracy, approvals, and coding.
- Match invoices to purchase orders and receiving documents.
- Prepare and process payments by cheque, EFT, wire transfer, or ACH.
- Reconcile vendor statements and resolve discrepancies.
- Maintain accurate accounts payable records and files.
- Communicate with vendors regarding payment status and inquiries.
- Assist with month-end and year-end closing activities.
- Support audits by providing required documentation.
- Monitor AP aging reports and ensure timely payment of obligations.
- Ensure compliance with company policies and accounting procedures.
- Assist with expense report processing and reimbursement requests.
- Generate and distribute customer invoices.
- Apply customer payments and maintain accurate records.
- Monitor outstanding receivables and aging reports.
- Follow up on overdue accounts and collections.
- Investigate and resolve billing discrepancies.
- Reconcile accounts receivable balances.
- Prepare receivables reports for management.
- Support month-end and year-end closing activities.

Payroll
- Process weekly, bi-weekly, or semi-monthly payroll accurately and on time.
- Review employee timesheets and attendance records.
- Maintain payroll records and employee information.
- Calculate earnings, deductions, benefits, and taxes.
- Prepare payroll reports and government remittances.
- Respond to employee payroll inquiries.
- Ensure compliance with employment standards and payroll legislation.
- Assist with year-end payroll activities, including T4 preparation.
General Accounting Support
- Assist with account reconciliations.
- Prepare journal entries.
- Maintain financial records and documentation.
- Support audits and internal controls.
- Collaborate with HR and operations teams on payroll and employee data.
Qualifications
- Diploma or degree in Accounting, Finance, Business Administration, or related field.
- 2+ years of experience in payroll, accounts receivable, or accounting.
- Experience with ERP/accounting software and Microsoft Excel.
- Knowledge of payroll legislation and accounting principles.
- Strong attention to detail and organizational skills.
- Excellent communication and customer service abilities.
- Diploma or degree in Accounting, Finance, or Business Administration preferred.
- 2+ years of accounts payable or accounting experience in Canada.
- Knowledge of accounting principles and practices.
- Experience with ERP/accounting systems or the ability to be trained.
- Proficient in Microsoft Excel and Outlook.

Preferred Skills

Reports to the Controller, Accounting Manager, or Finance Director.
