DLC A.I.M.I. Collective Mortgage Group is a fast-growing mortgage brokerage focused on operational excellence, broker support, and scalable growth. We work with a dynamic team of agents across BC, AB, and ON, and are looking for a highly organized and detail-oriented individual to support our operations.
Role Overview:
We are seeking a Brokerage Operations Coordinator to manage day-to-day operational functions including billing, compliance, broker onboarding, and system administration. This role is ideal for someone who thrives in a fast-paced environment and can balance multiple priorities efficiently.
Key Responsibilities:
Billing & Payments
- Manage monthly brokerage billing (fees, lender payouts, etc.)
- Reconcile accounts and track outstanding payments
- Coordinate with brokers on payment-related inquiries
Compliance
- Ensure adherence to provincial regulations (BCFSA, RECA, FSRA as applicable)
- Maintain broker licensing records and documentation
- Support audits and internal compliance checks
Commission & Payout Management
- Calculate and process broker commissions
- Handle commission splits, payouts, and reconciliation
- Liaise with accounting/bookkeeping
Process Improvement & Automation
- Identify inefficiencies and improve workflows
- Help implement automation using CRM tools (Velocity, Zoho, etc.)
- Standardize SOPs for onboarding, compliance, and submissions.
Recruitment Support
- Assist in screening and onboarding new brokers
- Coordinate interviews and documentation
- Support growth initiatives of the brokerage
Marketing & Broker Engagement
- Coordinate internal communications (updates, announcements)
- Support broker events, masterminds, and training sessions
- Help maintain engagement across the brokerage
Qualifications:
- 1–3 years experience in operations, administration, or mortgage/finance industry
- Strong attention to detail and organizational skills
- Experience with CRMs (Velocity, Filogix, Zoho is an asset)
- Understanding of mortgage brokerage operations is preferred
- Excellent communication and problem-solving skills
