We are seeking a confident, organized, and patient-focused Dental Administrator / Patient Care Coordinator who enjoys working with people, thrives in a fast-paced environment, and plays a key role in guiding patients from their first call to treatment completion.
You will often be the first and last impression of our clinic — and a vital part of our patients’ trust and experience.
Key Responsibilities:
- Patient Experience & Communication
Greet patients warmly and manage check-in/check-out efficiently
Answer phones and respond to emails/texts while managing high call volumes
Handle patient questions and concerns professionally and compassionately
Support patient retention through recalls, reactivation, follow-ups, and feedback
Encourage and support 5-star patient reviews
Scheduling & Coordination
Strategically schedule hygiene and doctor appointments to optimize flow and minimize gaps
Manage confirmations, recalls, waitlists, same-day openings, cancellations, and no-shows
Coordinate appointments across providers and help keep the clinic running on time
- Treatment Coordination & Financial Conversations
Present treatment plans and financial estimates clearly and confidently
Verify insurance coverage and explain limitations and expectations
Submit and follow up on predeterminations/estimates (as assigned)
Collect payments, process transactions, and maintain accurate patient ledgers
- Administrative & Systems Support
Maintain accurate patient records and document conversations thoroughly
Manage referrals and incoming/outgoing records per clinic protocols
Support daily and weekly administrative checklists and operational standards
Must-Have
Minimum 2 years experience in a dental front desk or dental admin role
Excellent communication skills and confidence discussing schedules, fees, and treatment
Strong attention to detail and comfort with multitasking and computers
Professional, positive attitude with a strong sense of accountability
Preferred
Experience with dental software (Akitu 1, Dentrix, Cleardent, Tracker, Power Practice, AbelDent, etc.)
Knowledge of Alberta dental insurance plans, coordination of benefits, and predeterminations
Strength in treatment acceptance, reactivation, and patient follow-up
