Job Summary
Assist in the overall management of the Banquet Department with a focus on sales, office administration, staff supervision, and event planning and execution.
Responsibilities and Duties
Primary
- Responding to customer inquiries in a professional and efficient manner
- Scheduling and conducting viewings and other meetings with clients
- Establish and maintain rapport with clients prior to, during, and post event, encouraging repeat business
- Talk to clients, listen to their needs, and present ideas and solutions to their requirements
- Confirm all event related information with clients and record details in banquet event order
- Initiate billing procedures, ensuring any deposits and other payments are received with adequate information and within an acceptable time frame
- Ensure compliance with the agreed upon details on the day of the event through hands-on day-of coordination
- Ensure accurate billing is completed for each function
- Maintain a high level staff morale
- Ensure maintenance of the cleanliness and equipment within the banquet department
Secondary
- Assume Duty Manager Role for the Clubhouse as required
- Promote positive customer relations on behalf of the company
- Ensure that all company policies and procedures as outlined in the employee handbook are adhered to by staff
- Maintain a thorough knowledge of current Human rights, BC Labour Standards and Worker's Compensation Board legislation
- Ensure that all health standards are being met within the department at all times
Qualifications and Skills
- Previous administrative, food and beverage and/or sales experience
- Ability to work effectively in a collaborative and team-oriented environment, possessing the proven ability to successfully coach, lead, and inspire others – both within your own team and other teams within an organization
- A genuinely positive attitude that lends itself to encouraging external feedback and the ideas of others
- Ability to analyze and interpret the needs of clients and offer the appropriate options, solutions and resolutions as required
- Comfortable communicating through email, phone and face-to-face interactions
- Exceptional conflict resolution and negotiation skills with the ability to respond quickly and appropriately in a dynamic and changing environment
- Computer literacy and systems proficiency is required
- Proven ability to thrive in a fast paced client/guest-focused environment, using initiative and working well under pressure to prioritize and consistently meet deadlines
- A personable, polished demeanor and fine attention to detail
- Responsibilities frequently require an adjusted work schedule, including evenings, weekends and holidays to meet business demands
- Golf knowledge an asset
