POSITION OVERVIEW:
- Position Status: Property Manager
- Reporting Relationship: Property Management Lead
- Hours of Work: Monday-Friday from 8:30-4:30. Some nights and weeks.
- Pay Rate: Negotiable, dependent upon the demonstrated ability
As a Property Manager, you will be responsible for overseeing a portfolio of aronnd 200 units, ensuring the highest level of owner and tenant satisfaction. The focus of your role will be leasing, owner and tenant management, maintenance oversight, and financial reporting. You will work closely with the Ground Floor Property Management team to ensure that all properties are well-maintained and that all stakeholders are satisfied with the level of service provided.
RESPONSIBILITIES:
- Onboard new properties, including conducting property inspections, reviewing leases and agreements, and setting up property management systems and processes.
- Leasing units from your portfolio. This includes managing ads and doing showings.
- Act as the primary point of contact for property owners, providing regular updates and managing expectations.
- Manage tenant relationships, including lease renewals, move-in/move-out processes, and resolving tenant disputes.
- Oversee all maintenance and repairs for the properties in your portfolio, ensuring that work orders are completed in a timely and efficient manner.
- Conduct regular property inspections to ensure that all properties are in compliance with local regulations and to identify any maintenance or repair issues that need attention.
- Review financial reports for property owners, including monthly financial statements and annual budgets.
- Monitor and analyze KPIs, including vacancy rates, rent collections, and maintenance costs, to ensure that the properties in your portfolio are performing well.
KEY PERFORMANCE INDICATORS (KPIs):
- Vacancy Rate: Measure the percentage of units in your portfolio that are vacant at any given time.
- Rent Collection Rate: Track the percentage of rent payments that are collected on time each month.
- Maintenance Response Time: Measure the time it takes to respond to and complete maintenance requests.
- Tenant & Owner Satisfaction: Conduct regular surveys to measure tenant satisfaction with the level of service provided.
- Financial Performance: Monitor the financial performance of each property in your portfolio to ensure that it is meeting or exceeding budgeted expectations.
SYSTEMS FOR PRODUCING KPIs:
- Property Management Software: Use a property management software to track and analyze property data, including financial performance, maintenance requests, and tenant information.
- Maintenance Tracking Software: Use a maintenance tracking software to monitor and respond to maintenance requests in a timely and efficient manner.
- Survey Software: Use a survey software to measure tenant satisfaction and gather feedback on the level of service provided.
- Financial Reporting Software: Use a financial reporting software to prepare and deliver financial reports to property owners.
- KPI Dashboard: Use a KPI dashboard to monitor and analyze key performance indicators and track progress towards goals.

- Must be bilingual (French and English).
QUALIFICATIONS
- Relevant Experience: 3 years of experience in property management or a closely related field.
- Educational Background: Bachelor’s degree in Business Administration, Real Estate, or a related field preferred (or equivalent experience).
- Certifications: Certifications such as Certified Property Manager (CPM) or Residential Management Professional (RMP) are advantageous.
- Financial Acumen: Proficiency in budgeting, financial reporting, and expense management.
- Maintenance Oversight: Experience in overseeing property maintenance, understanding of basic repair issues, and the ability to coordinate with contractors and maintenance staff.
- Leasing Expertise: Knowledge of leasing procedures, tenant screening, and rent collection processes.
