The quickly growing Local Engineering team is small but nimble, with a one-of-a-kind collaborative team environment.
Job Summary
The experienced Document Controller will independently provide administrative support for document management for a large project. This is a secondment position working directly with a client to manage and coordinate all document control activities for the project. This position requires an experienced document controller with experience setting up and managing client systems and working within the document control systems of major oil and gas clients. This position will be independent from the day-to-day operations of Local Engineering and will require an independent self-starter to drive the success of the document management system. The pace of work is fast and changes from day to day, which requires an agile organized person with high attention to detail who can manage and execute many activities simultaneously in a dynamic environment.
Position Conditions
- Job is typically performed in an office environment.
- Expected duration is 1-year, however will be client dependent and may be shorter or longer.
- Expectation is that this is a full-time position, however candidates requiring reduced work weeks may be considered.
Education & Qualifications
- High school diploma or equivalent.
- 5+ years of technical document control experience.
- Strong computer skills in Microsoft Office suite, specifically Outlook, Excel and Word.
- Postsecondary education in Administration / Information or Document Management from a recognized Canadian institution would strongly be considered an asset.
- Familiarity with technical drawings would be considered an asset.
- Experience with administration or document management in an engineering consulting and/or professional services environment is required.
Responsibilities
- On behalf of our client – Develop and manage the documentation system including receiving, issuing, tracking and maintaining drawings, administering revision numbers and databases, and continually improving processes and procedures.
- Review and understand the owner’s document management system and quickly get up to speed to set up the program ensuring compliance with owner’s standards for document management.
- Organize active project documents and archive completed project documents as well as maintaining corresponding document control logs.
- Review and edit document packages to ensure consistency of nomenclature and formatting.
- Facilitate and track communication between project stakeholders including internal team, clients, vendors, and subcontractors as needed.
- Responsible for documentation quality including identifying gaps as well as maintaining accuracy, formatting, and spelling.
- Communicate, coordinate and escalate status of documents as required to project leads to maintain project timelines and efficiency.
- Ownership in the creation of internal standard operating procedures for the project document control system.
- Administrative activities and other project support as required, such as but not limited to filing hardcopy and electronic documentation, generating documents / spreadsheets / letters, etc.
