Executive Assistant
We are seeking an organized, detail-oriented, and proactive Executive Assistant to support our Executive Director and leadership team while helping ensure the smooth day-to-day operation of our organization.
This is a dynamic role that combines executive support, office administration, program coordination, event support, and community engagement.
Key Responsibilities
- Provide administrative support including calendar management, meeting coordination, correspondence, document preparation, and record management.
- Serve as a professional first point of contact by answering phones, responding to inquiries, and welcoming visitors.
- Support organizational programs by maintaining records, tracking data, coordinating schedules, and preparing materials.
- Assist with community events, fundraising activities, presentations, and outreach initiatives.
- Coordinate volunteer schedules, communications, onboarding, and record keeping.
- Maintain office supplies, filing systems, databases, and general office operations.
- Support reporting, grant documentation, and other administrative projects as required.
Qualifications
- MUST have 3-5 years of administrative, executive support, or office coordination experience.
- Grant reporting experience.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft 365, Google Workspace, SharePoint, and database systems is essential.
- Ability to manage multiple priorities while maintaining professionalism and confidentiality.
- A positive, collaborative, and customer-focused approach.
- Must live in Grande Prairie, AB
