We are looking for a skilled Office Co-Ordinator to undertake a variety of day-to-day office and clerical tasks. You will be an integral part in ensuring that our office operations run smoothly and are successful in supporting other business activities.
An excellent Office Co-Ordinator is, above all, an organized and competent professional with phenomenal communication skills. You will be comfortable dealing with people and able to carry out administrative duties with accuracy and speed.
The goal is to ensure that office operations are efficient and add maximum value to the organization.
Responsibilities
- Excellent written/verbal communication skills and interpersonal skills
- Follow office workflow procedures to ensure maximum efficiency
- Establish and implement office procedures and practices
- Experience in purchasing & inventory control is an asset
- Maintain files and records with effective filing systems
- Support other teams with various administrative tasks (redirecting calls, disseminating correspondence, scheduling meetings etc.)
- Greet and assist clients with high standards of customer service
- Friendly communication style when dealing with clients or staffs
- Deal with client complaints or issues
- Monitor office expenditures and handle all office contracts (rent, service, office supplies, stock inventory, place orders and etc.)
- Perform basic bookkeeping activities and update the accounting system
- Assist in vendor relationship management
Requirements
- Proven experience working in a professional office environment or in a similar role will be a plus
- Consult with suppliers, review quotations, negotiate price, establish delivery options, contact clients and suppliers to resolve problems
- Ability to explain complex concepts and demonstrate tasks to clients and staffs
- Ability to promote the business using social media
- Understanding of basic math, accounting, and budgeting
- Knowledge of basic bookkeeping principles and office management systems and procedures
- Outstanding knowledge of MS Office, Email, Internet Browser and POS system
- Working knowledge of office equipment including computers, copy machines, fax machines and others
- Organized with the ability to prioritize and deadline-oriented approach to ensure records are kept accurately and admirative affairs run smoothly
- Reliable with patience and professionalism
- Associate’s/College degree; BSc/Ba in business administration or relevant field is a plus
- Languages: ENGLISH (Cantonese and/or Mandarin is an asset)
