The Deposit Services Administrator is responsible for providing administrative and operational support for nominee GIC deposits from Investment Dealers. This includes daily uploads of Cannex files and processing into P+ system, money movement from Bank to Dealer or vice versa on net settlement compliance review, managing documentation, problem resolution, dealer communication, manual data input (if necessary) and quality assurance.
The Administrator is responsible for performing the role with a high degree of accuracy and with a superb level of customer service and professionalism.
Key Responsibilities
Processing:
- CANNEX electronic purchases/transfers/reconciliation files
- EFT payments Setup
- Maturity cheques (if requested)
- Bulk cheque runs (if necessary)
- Nominee Transfers, re-registrations and/or redemptions
- Pre-Authorized Deposits (PAD's)
- Broker commission payments and reporting
- Banking Reconciliation
- Manual GIC purchases input
Customer Service:
- Promptly responding to client and dealer inquiries received via telephone, e-mail, or fax
- Ensure customer/dealer satisfaction; must be well versed in product knowledge and features as well as policies and procedures
- Be an educational resource for dealers on SCB’s regulatory, policy and product requirements
- Resolving any issues that may arise and escalating as needed
Order File/Application Review and Input (Quality Assurance):
- Ensure all required CDIC record keeping documentation has all been received in good order
- Confirm receipt of the funds and the accuracy of the investment terms such as interest rate, term, issue and maturity dates etc., resolving discrepancies or recommending exceptions where and when appropriate
- Applications that are not compliant must be followed up with dealers in a prompt and timely manner
- Input the investment details accurately into the P+ banking system.
- Transfers/re-registrations are also reviewed for accuracy and completeness
Compliance
- Responsible to review nominee investments through CANNEX and Manually entered to ensure compliance with our obligations under: CDIC Fast Insurance Determination Regulations and nominee deposit rules and CDIC Disclosure By-law.
- Ensure all nominee accounts are compliant with CDIC FID and premium reporting
- Promptly responding to client and dealer inquiries received via telephone, e-mail, or fax
Reporting and Reconciliation:
- On a daily or periodic basis as required, administrators must balance and reconcile GIC journal entries to the bank statements, identifying outstanding items that need to be followed up with the Bank or the accounting department.
- Any unbalanced items must be thoroughly investigated. This could include examining the journal entries, deposit slips, back dated items, etc.
- Communicate with the accounting department regarding any reconciling items.
- Produce, review & distribute monthly broker/dealer commission and reconciliation reports
Duties as assigned:
- Annual review of documented procedures and ensuring procedures are kept up to date
- Filing, scanning or other duties or projects as assigned by management.
Qualification, Knowledge and Skill Requirements:
- Minimum 12 months’ experience in front line customer service, preferably in Brokered GIC Deposits or mortgage industry
- Familiarity with P+ Bank Deposit System (or similar Book of Record system)
- Postgraduate education
- Strong interpersonal and communication skills – written and oral
- Attention to detail and strong organizational skills
- Ability to work independently as well as within in a group/team environment
- Strong Customer Service orientation
- Ability to easily build rapport and foster positive relationships with both customers and team members
- Strong active listening skills with the ability to engage with the customer
- Professional and courteous telephone manner
- Able to perform well in a high volume, high intensity environment and multi-task
- Proficiency with MS Office (MS Outlook, MS Word & MS Excel)
- Staff members must maintain up to date knowledge of company policies, procedures and regulatory obligations
Accountability:
- Reports to the Vice President of Deposit Services
- Complete responsibilities in a proficient and timely manner
- Escalate issues to Management when necessary
- Ensure time sensitive functions are completed before the deadlines (time management)
- Recognize the importance of superior customer services
Working Conditions / Physical Requirements
- Work is primarily performed remotely, with standard office equipment.
- Requires prolonged periods of sitting and computer use.
- Requires sustained concentration, frequent task-switching, and the ability to manage interruptions, particularly during audit periods or regulatory reporting cycles.
- Occasional extended hours may be needed during month-end or reporting deadlines.
- No travel required.
