As a Project Coordinator (PC), you'll have the opportunity to contribute to our dynamic team, working closely with commercial clients to ensure outstanding results. As the Project Coordinator, you'll be entrusted with key responsibilities that drive our success. From precise data entry, to seamless coordination with our accounting team, your attention to detail will ensure the smooth flow of operations. You'll also play a pivotal role in preparing meeting minutes and facilitating effective communication within our team. With your exceptional coordination skills, you'll work closely with various stakeholders, including subcontractors, to ensure seamless project execution. Additionally, your support in document control and on-site supervision will be invaluable.
RESPONSIBILITIES/DUTIES OF THE ROLE:
- Assist with the estimating, pre-planning and execution of various project;
- Assist and coordinate with the Project Manager all aspects of managing the project;
- Maintains project systems and procedures including master filing system, project billings, cost accounting, project delivery status and reporting;
- Diligent with obtaining all daily/weekly reporting inputs from field team and subcontractors;
- Work closely and have effective communications with the field personnel on the project to ensure all facets of the project are managed at maximum effectiveness and least cost;
- Assist with the management of all site documentation, ensuring that it is scanned / filed and distributed accordingly;
- Attend and participate in all site meetings for safety, quality and client / subcontractor meetings as they arise;
- Act as a support to various levels of project management personnel including but not limited to superintendents, other coordinators, surveyors and field engineers;
- Ensure that all necessary resources including labour, materials and equipment to complete the work is available, well maintained where applicable and properly managed to ensure optimum performance;
- Responsible for ensuring the project filing system is being utilized;
- Assist with managing the project schedule such that milestone and completion dates are met;
- Assist with the communication and liaise with superintendent(s), consultants, owners, contractors, subcontractors, suppliers, utility companies and any affected stakeholders as directed by the Project Manager;
- Assist with carrying out purchase orders for various sites;
- Assist with the review and sign-off of all subcontractor, supplier, material and job cost invoices prior to payment being made;
- Assist with the review and proper cost coding;
- Assist with the preparation (where applicable), distribution and tracking of all project management construction documents (RFI’s, SI’s PCN’s, etc.);
- Assist with documenting site activities and construction progress (diaries, written and oral correspondence, photographs, contract document logs, etc.);
- Manages project-related inquiries or escalations and provides appropriate responses in a timely manner;
- Assist with proper project close-out by ensuring all commissioning and testing is completed as per the contract documents and the quality control plan, preparation and submission of as-built drawings and addressing ALL deficiencies in a timely manner;
- Perform other duties as required.
QUALIFICATIONS & REQUIREMENTS
Requirements for the Project Coordinator position include:
- 2 - 3 years of commercial project experience;
- Possess a strong personality that demonstrates a high level of independence and able to work independently;
- Proven success in a results driven organization where success is measure on execution, delivery and safety on multiple projects;
- Ability to communicate clearly and collaborate with multiple stakeholders, anticipate stakeholder needs, and proactively identify solutions;
- Working knowledge of project invoicing, PO's, and project logistics;
- Working knowledge of construction and engineering documents, drawings, and specifications;
- Comfortable learning new softwares and technologies in an ever changing industry
- Ability to pivot and prioritize in a fast paced environment
- Capable of identifying issues and generating solutions in moderately complex situations;
- Willingness to contribute actively in team discussions, sharing experiences and ideas;
- Strong organizational and planning skills and the ability to manage multiple priorities;
- Familiarity with scheduling;
- Customer service based attitude for client support;
- Ability to work as a team player within the operations team to meet goals and objectives;
- Anticipates problems and challenges, proposes innovative solutions and ensures solutions are consistent with the company’s strategic objectives;
- Knowledge of Autodesk Build and Google Workspace is a bonus.
Job Types: Full-time, Permanent
Pay: $58,000.00-$75,000.00 per year
