OVERVIEW
We are seeking a Scheduler to join our team to coordinate and maintain staff and client schedules efficiently and accurately. This role ensures service needs are met in a timely manner while supporting clients and staff within organizational policies, collective agreements, and ministry requirements. The Scheduler provides direct scheduling support, resolves scheduling inquiries, and contributes to smooth day-to-day operations.
KEY RESPONSIBILITIES
- Create, maintain, and update client and staff schedules accurately and efficiently.
- Respond to staff and client scheduling inquiries in a professional and timely manner.
- Assist with vacation, overtime, and leave requests according to policies and agreements.
- Support continuity of care by ensuring schedules meet client needs and service targets.
- Participate in the on-call scheduling rotation, including occasional evenings or weekends, to address urgent scheduling issues.
- Maintain accurate records for payroll, scheduling, and reporting purposes.
- Identify scheduling trends and recommend process improvements.
- Collaborate with leadership on workforce planning and service delivery needs.
QUALIFICATIONS
Education
- College diploma or bachelor’s degree in office, business, health administration, or a related field, or equivalent experience.
- 1–3 years experience in scheduling, staff coordination, or operations in community support services, healthcare, or nonprofit settings.
Skills & Qualifications
- Strong computer proficiency (MS Access, Excel, Word; scheduling software experience an asset).
- Excellent organizational, communication, and time management skills.
- Ability to problem-solve, prioritize, and work under pressure.
- Strong interpersonal skills and the ability to coach, support, and motivate staff.
- Knowledge of relevant legislation, regulations, and collective agreements.
- Bilingualism (English/French) is an asset.
Experience & Assets
- Experience working in a unionized environment considered an asset.
- Experience in community support services, health care, or a related field is an asset.
WORKING CONDITIONS
- Full-time, permanent position.
- Standard office environment with frequent use of computers and scheduling systems.
- Participates in the on-call scheduling rotation, including occasional evenings or weekends, to address urgent scheduling needs.
