SUMMARY
The position is responsible for coordinating administrative hearings and provides comprehensive support to legal counsel in accordance with real estate legislation to ensure smooth and efficient legal proceedings.
ACCOUNTABILITIES
Coordinate and schedule real estate disciplinary, qualification, and compensation fund hearings; manage and update hearing schedules and case files, ensuring compliance with policy and legislation.
Conduct initial case reviews, prepare notices, legal documents, and disclosure lists, and provide administrative support at hearings, including room setup, note-taking, and maintaining exhibits.
Collaborate with legal staff on case progress, track, and update registrant discipline history, and prepare supporting documents for freedom of information requests.
Develop and maintain reporting requirements, contribute to internal policy and procedure improvements, and provide training to stakeholders.
Support organizational transformation initiatives, ensuring effective and streamlined hearing and legal processes.
Coordinate communications and document flow between internal stakeholders and external legal counsel.
Tracks and monitors litigation matters, maintaining records, key dates, and status updates to support the timely profession of legal files.
Support departmental operations through the coordinator of legal documentation, templates, and administrative processes.
JOB REQUIREMENTS
Previous experience working with councils, boards, and committees considered an asset.
Strong written and verbal communications skills.
Proficient in Microsoft Office Suite (Outlook, Word, Excel).

Understanding of legal terminology, processes, and documents in administrative and regulatory law.
EDUCATION
Diploma or degree in Legal Studies, Business Administration, or Public Administration.
CERTIFICATIONS
Paralegal certificate and several years of experience in a legal office or regulatory environment, or an equivalent combination of education and experience.
PROVISOS
