What We Are Looking For
Position Title: Office and Communications Administrator
Location: Calgary, Alberta
The Role:
Office and Communications Administrator will support the overall function of our office and manage the organizations internal and external communication and marketing strategy.
Key Responsibilities:
Office Administration & Coordination
- Own the day-to-day operations of our Calgary office.
- Supporting development and execution of an external stakeholder communication strategy
- Plan, organize and support corporate communication events
- Write, edit and proofread communication materials, including articles, blog posts and social media content
- Manage office supplies, coordinate vendor relationships, and liaise with building services.
- Answering phone and main door contact for head office
- Book travel, meeting rooms, catering, and organize team events.
- Assist with onboarding new team members and ensuring the workspace is functional and welcoming.
- Maintain document filing systems and support internal processes.
- Be the friendly, reliable point of contact for visitors and team members alike.
- Prepare meeting materials, assist with board meeting logistics, and help track key deadlines.
- Complete expense reports, travel bookings, and assist with ad hoc executive tasks as needed.
- Handle sensitive information with professionalism and confidentiality.
What We’re Looking For:
- 5+ years in an administrative, communications or executive assistant role.
- Strong organizational skills and attention to detail — you’re the person who always remembers the little things.
- Proactive, dependable, and comfortable juggling multiple priorities.
- Proficient with Microsoft Office Suite.
- A strong communicator with a positive attitude and a willingness to jump in wherever needed.
- Trustworthy, discreet, and committed to doing things right the first time.
- Undergraduate degree
