Job Summary
We are seeking a highly organized and proactive Office Coordinator to oversee daily administrative operations within our office environment. The ideal candidate will possess strong communication and organizational skills, with experience in supervising teams, managing vendor relationships, and handling various clerical tasks. This role is essential in ensuring smooth office functions, supporting team management, and maintaining efficient workflow across departments.
Responsibilities
- Oversee front desk operations, including multi-line phone systems and visitor management
- Supervise administrative staff and coordinate team activities to ensure productivity
- Manage bookkeeping tasks using QuickBooks, including invoicing and expense tracking
- Handle human resources functions such as onboarding, training & development, and employee records management
- Process payroll accurately and timely
- Maintain organized filing systems for documents, records, and vendor information
- Manage vendor relationships and coordinate procurement of office supplies and services
- Assist with budgeting processes and monitor departmental expenses
- Ensure proper phone etiquette and professional communication with clients, vendors, and staff
- Support administrative projects, including scheduling meetings, preparing reports, and coordinating events
Experience
- Proven supervisory experience in an office setting or administrative team management
- Strong proficiency with QuickBooks and general bookkeeping practices
- Prior experience in front desk operations or multi-line phone systems management
- Background in human resources, payroll processing, or clerical support preferred
- Demonstrated organizational skills with the ability to manage multiple tasks efficiently
- Excellent communication skills, both verbal and written
- Experience in vendor management and office supply procurement
- Familiarity with office software such as MS Office Suite (Word, Excel, Outlook)
- Ability to handle confidential information discreetly and professionally
