Plainsman Mfg. is looking for a Receptionist to join our team in Edmonton, Alberta. The Receptionist/Administrator position will be responsible for serving internal and external customers and visitors by greeting, welcoming, directing and helping them appropriately and doing your best to help the office run smoothly.
Pay Type: Salary
Hours: Monday to Friday, 8am to 5pm
Role Responsibilities:
- Represent the company professionally and act as a positive ambassador when interacting with visitors, customers, vendors, and coworkers.
- Answer, screen, and direct incoming phone calls and visitors to the appropriate personnel.
- Welcome visitors and provide orientation on company Health & Safety policies, PPE requirements, and emergency procedures.
- Manage incoming and outgoing mail, courier services, and parcels.
- Prepare and distribute customer invoices via mail or email.
- Maintain organized office records and archives, including filing, scanning, saving, boxing, and year-end file maintenance.
- Prepare forms, letters, reports, memos, and other administrative documents as requested.
- Coordinate meetings, book meeting spaces, and assist with organizing company events and special activities.
- Order, track, and maintain office supplies and administrative inventory in accordance with company policies.
- Maintain shared office spaces, including the reception area, copy room, supply room, and lunchroom, using Lean, 5S, DMAIC, Pareto, and other continuous improvement principles.
- Recommend and implement improvements to office administration, reception processes, filing systems, and workspace organization.
- Maintain company administrative resources, including the intranet phone directory.
- Support sales and staff by preparing brochures, sales catalogues, ERP reports, and other requested information.
- Coordinate maintenance and service for office equipment, including the photocopier, coffee machine, and water cooler.
- Process PAID ordering and tracking.
- Print and prepare employee time cards.
- Perform miscellaneous administrative duties and provide support to staff as required.
Role Requirements
- High school diploma or equivalent
- Fluent and articulate in spoken English
- High school or better reading, writing and grammar knowledge
- Basic knowledge of MS Office (Word, Excel, Outlook, Explorer) and windows
- Enrolled in or interest in CCAP designation
