Voyageur Trade Program (VTP) Coordinator – Education, Training and Research

Position Status: One (1) Full-time (40 hours/week), One Year Contract (with possibility of extension)
The Otipemisiwak Métis Government is looking for one Voyageur Trade Program (VTP) Coordinator to join our Education, Training and Research Department. Reporting to the Voyageur Trades Program - Manager, the VTP Coordinator provides administrative and operational support for the Voyageur Trades Program. This role supports day-to-day operations through effective scheduling assistance, record-keeping, reporting support, and communication coordination.
The VTP Coordinator contributes to program start-up and ongoing delivery by maintaining organized systems, coordinating logistic, supporting time recording, expense claims, workforce tracking, and assisting with compliance with organizational and regulatory requirements.
Key Responsibilities
- Provide day-to-day administrative support to Voyageur Trades Manager.
- Maintain organized filing systems (digital and physical) and update databases and tracking tools ensuring records are accurate, complete, and up to date.
- Support facility operations and visitor tracking and respond to general inquiries and direct requests appropriately.
- Support onboarding documentation and general office processes.
- Support the preparation and maintenance of staff schedules in collaboration with program leads.
- Track shift coverage, absences, and scheduling updates, and maintain record of hours worked, overtime, and leave.
- Maintain logs and tracking systems for apprentice hours, incident reports, expenses, inventory, vehicles, and contracts.
- Compile and organize program data for reporting purposes.
- Maintain reporting records in alignment with organizational requirements.
- Assist with surveys, procurement, and inventory tracking.
- Support vendor coordination and contract documentation.
- Assist with logistics, program start-up, communication, and ongoing needs for training, workshops, and events.
- Support administrative systems and processes and act as a point of contact for administrative inquiries.
- Support communication between stakeholders.
- Assist with coordination of information across programs.
- Support development of documentation and policies.
- Perform other duties as required or assigned.
Skills & Competencies
- Strong organizational and communication skills.
- Strong attention to detail and professionalism.
- Ability to manage multiple priorities.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, Explorer, PowerPoint).
- Ability to work independently and in a team environment.
- Ability to manage multiple tasks and adapt to changing priorities in a diverse and fast-paced environment.
- Knowledge of Métis history, culture, and issues affecting Métis people. An in-depth understanding on the Otipemisiwak Métis Government and the Métis culture is an asset.
Qualifications
- Post-secondary diploma in Business Administration or related field is required.
- 2-4 years of administrative experience.
- Experience with trades, construction industry, or public sector is an asset.
- Experience with Indigenous organizations is an asset.
Other Requirements
- Ability to work a regular schedule from Monday – Friday, 8:30 AM – 4:30 PM, with occasional evenings and weekends as required.
- Ability to travel throughout Alberta, with notice.
- Reliable transportation and valid Class 5 driver’s license.
- Submission of a clear Vulnerable Sector Police Information Check.
