The Community Legal Clinic Operating Society of BC (Okanagan Thompson Legal Clinic) is currently recruiting for an Administrative Assistant to join our team of professionals for a service delivery organization based in both the Kamloops and Kelowna areas. The Society is committed to providing access to justice to the Okanagan Thompson area by providing free quality legal services and education to the community with a trauma informed approach. The Community Legal Clinic Operating Society of BC is committed to a client-centered approach for removing barriers to justice for gender diverse individuals, indigenous communities and other marginalized communities.
Under the supervision of the Executive Director, the Administrative Assistant will be responsible for overseeing assigned administrative tasks and will create a welcoming environment at the Clinic by greeting guests, answering phone calls and directing visitors. They will support the legal advocates with appointments, reviewing documents, and other tasks. Taking messages for employees and fielding customer complaints and/or issues and ensuring they are forwarded to the appropriate parties for follow up is fundamental to this role. The Administrative Assistant will create and distribute memos and correspondence through email, letters, or telephone calls and will schedule and maintain the calendar of Advocates, including the booking and setup of the boardroom. The Administrative Assistant will assist with the organization and management of related records, files and documents either electronically or with a paper filing system and will be responsible for handling all incoming and outgoing mail. Providing support for employees as appropriate and assisting with administrative office support specific to the day to day operation of the Clinic. Working with the Executive Director, the Administrative Assistant will also be responsible to monitor and manage the social media of the Clinic. The Administrative Assistant will be based at the Kamloops location.
Candidates will have a post-secondary degree (additional coursework in communications, business, or a related field considered an asset). A Legal Assistant Certificate or related diploma would be advantageous but is not required for entry-level applicants.
Successful candidates will demonstrate strong administrative and organizational abilities, along with effective written and verbal communication skills. Sound customer service experience is essential. Experience working with marginalized or vulnerable communities would be considered an asset.
Candidates must be proficient with Microsoft Office and related software applications, and comfortable using a variety of social media platforms.
Compensation - $50,000 - $60,000 a year (pension and benefits)
The successful candidate will be required to have a Police Information Check (PIC) as a condition of employment (Note - Not required as part of the application process, however, a PIC will be required upon consideration for employment).
This position is full time based on 35 hours per week and will primarily be Monday to Friday. On occasion, candidates may be required to work the evening and/or weekend.
