Job Summary
We are seeking a detail-oriented and organized Bookkeeper/Administrative Assistant to support our office operations. This role involves managing financial records, providing administrative support, and ensuring smooth daily operations. The ideal candidate will have strong computer skills, experience with office management, and excellent customer service abilities to contribute effectively to our team.
Responsibilities
- Maintain accurate financial records using QuickBooks and other accounting software
- Perform data entry and bookkeeping tasks with high attention to detail
- Manage accounts payable and receivable, invoicing, and expense tracking
- Handle front desk duties including greeting visitors and managing multi-line phone systems
- Provide administrative support such as filing, document proofreading, and organizing files
- Assist with scheduling appointments and maintaining calendars
- Respond to customer inquiries via phone and email with professional phone etiquette
- Support medical or dental office operations if applicable, including patient record management
- Support customer service efforts by providing timely assistance and support to clients and staff
- Perform general clerical tasks including typing, copying, scanning, and maintaining office supplies
Skills
- Proficiency in QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), and Google Workspace
- Strong computer skills with the ability to learn new software quickly
- Excellent organizational skills with the ability to multitask efficiently
- Experience in data entry, filing, and clerical support roles
- Previous office experience, especially in medical or dental environments preferred
- Knowledge of front desk operations and multi-line phone systems
- Exceptional customer service skills with professional phone etiquette
- Attention to detail for proofreading documents and maintaining accurate records
- Strong typing skills for efficient data entry and correspondence
- Ability to handle confidential information discreetly and professionally
