At Empire Building Restoration Inc., we specialize in commercial and residential restoration services, including caulking, high-rise maintenance, and exterior building repairs. With a reputation for quality and professionalism, we are growing rapidly and looking for a highly organized and detail-oriented Administrative Assistant to join our team.
Key Responsibilities
- Manage and organize company email correspondence and respond to inquiries in a professional manner.
- Prepare, edit, and distribute reports, proposals, notices, and other business documents.
- Maintain electronic filing systems and ensure records are accurate and up to date.
- Assist with scheduling meetings, service appointments, and project-related activities.
- Track project documentation, certificates, reports, and client communications.
- Support management with day-to-day administrative tasks and operational coordination.
- Prepare spreadsheets, data entry, and general record keeping.
- Coordinate with property managers, clients, technicians, and vendors as required.
- Assist with invoice tracking, document preparation, and administrative follow-ups.
- Maintain company calendars and ensure important deadlines are monitored.
- Provide general office support and assist with special projects as assigned.
Requirements
- Previous experience in an administrative, office coordinator, or administrative assistant role.
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Professional and courteous communication skills.
- Experience preparing reports and business correspondence.
- Ability to work independently and as part of a team.
- Experience in the construction, restoration, or property management industry is considered an asset.
