- Greet clients, visitors, and colleagues in a professional and welcoming manner.
- Manage incoming calls, emails, and inquiries, ensuring timely and accurate responses.
- Support day-to-day office operations, including scheduling, mail management, and office coordination.
- Provide clerical support including data entry, document preparation, and electronic filing.
- Assist executives or teams with calendar management, meeting coordination, and correspondence.
- Prepare reports, presentations, and maintain organized records to support business operations.
- Maintain and update paper and electronic filing systems with accuracy and attention to detail.
- Ensure compliance with internal documentation standards and confidentiality requirements.
- Collaborate with team members to streamline processes and improve office efficiency.
- Minimum of 2 years’ recent experience in reception, administrative assistance, executive assistance, file management, or related roles.
- Previous experience in fast-paced office environments is a requirement.
- Post secondary degree/diploma in administration or related field an asset.
- Intermediate to advanced proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Comfortable learning new systems and software quickly.
- Experience with minute taking, agenda preparation, travel and accommodation organization and calendar management an asset.
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Professional demeanor, proactive approach, and adaptable to changing priorities.
- Able to work independently and collaboratively in a team environment.
