Position: Finance and Payroll Administrator

Position Summary
The Couchiching Family Health Team (CFHT) is seeking a motivated, detail-oriented Finance and Payroll Administrator to join our team. Reporting to the Finance Manager, the successful candidate will be responsible for payroll administration, bookkeeping, accounts payable/receivable support, and financial reporting.
This role requires strong attention to detail, excellent organizational skills, and the ability to work independently while supporting a collaborative team environment. The incumbent will ensure accuracy, compliance with internal controls, and adherence to applicable legislation and organizational policies.

Roles and Responsibilities
Payroll Administration
· Process bi-weekly payroll for salaried and hourly employees
· Review and approve employee timesheets to ensure alignment with organization policies and individual employment agreements
· Set up and maintain new employee profiles in the payroll system
· Onboard new employees and provide payroll orientation and training
· Respond to employee payroll inquiries and serve as a key point of contact
· Calculate and process pay, including sick time, vacation time, discretionary time, taxable benefits, allowances, and deductions
· Process salary adjustments and additional payments as required
· Maintain accurate payroll and HR records in compliance with legislation
· Ensure payroll accuracy, timeliness, and compliance with Employment Standards Act (ESA), Income Tax Act and other relevant legislation
· Prepare Records of Employment (ROEs)
· Complete year end tasks including adjustments, issuing T4s, and T4As
· Experience preparing reports for finance, audits, or funders
· Other responsibilities
Employee Leave Administration
· Validate payroll, benefits, pension and RRSP information for employees requesting pregnancy or parental leaves
· Ensure administration of pension, RRSP and benefit programs for employees on leave align with CFHT policies and applicable legislation
Accounts Payable & General Bookkeeping
· Process and enter invoices for payment, ensuring accuracy and proper authorization
· Match invoices with packing slips and maintain complete supporting documentation
· Record financial transactions and prepare journal entries
· Assist with accounts receivable functions and billing for programs with billable expenses
· Prepare bank and credit card reconciliations
· Maintain organized and accurate filing systems and audit trails
Financial Reporting & Analysis
· Prepare general ledger reconciliations and support month-end close processes
· Assist with the preparation of monthly, quarterly, and annual financial statements
· Prepare statistical, financial, and accounting reports
· Process accruals and adjusting entries as required
· Monitor cash control procedures and support safeguarding of assets
· Maintain year-end working papers and supporting spreadsheets
Audit & Compliance Support
· Support preparation for internal and external audits
· Ensure documentation is complete, accurate, and audit-ready
· Maintain confidentiality in accordance with the Municipal Freedom of Information and Protection of Privacy Act
· Work in compliance with Health and Safety legislation and CFHT policies and procedures

Education and Experience
· Certification in bookkeeping or financial management considered an asset
· Minimum of 2 years of bookkeeping experience
· Experience with payroll administration required
· Proficiency in Microsoft Office (Excel, Word)
· Strong knowledge of QuickBooks Desktop and payroll/HR systems
· Experience with Payworks an asset
· Experience with healthcare, not for profit or publicly funded organizations preferred

· Commitment to maintaining and upgrading skills and knowledge

Pay: $55,000.00-$58,500.00 per year
