We are committed to providing exceptional customer service, personalized tour experiences, and seamless guest journeys. As our business continues to grow, we are looking for an organized, sales-focused, and proactive Tour Operations & Sales Assistant to support our Vancouver office.
Position Overview
The Tour Operations & Sales Assistant will support the daily operations and sales activities of Globalduniya / GDTOURS.
This is a permanent part-time, office-based position requiring the successful candidate to be present at our Vancouver office Monday to Friday from 10:00 AM to 2:00 PM.
The position may be converted into a full-time role in the coming months based on business requirements, employee performance, and company growth.
The successful candidate must have strong administrative, customer-service, communication, and sales skills. This person will communicate directly with guests, prepare quotations, follow up on sales opportunities, coordinate tour add-ons, assist with operational scheduling, and maintain accurate financial and booking records.
Key ResponsibilitiesTour Calendar Management and Guest Engagement
- Add all confirmed tours, transfers, and services to the company calendar.
- Review booking information to ensure all required details are complete and accurate.
- Conduct introductory calls with guests after their bookings are confirmed.
- Introduce Globalduniya / GDTOURS, review the tour experience, confirm pickup details, and answer pre-tour questions.
- Review itineraries, guest expectations, special requirements, luggage details, mobility needs, and other booking information.
- Record and communicate all guest preferences and special requests to the operations team.
- Maintain professional communication with guests before and after their tours.
Sales and Upselling
- Identify opportunities to recommend and sell additional services.
- Upsell relevant services, including:
- Airport and hotel transfers
- Tour extensions
- High Tea experiences
- Attraction tickets
- Additional sightseeing experiences
- Customized private tours
- Additional tour days
- Premium vehicle upgrades
- Follow up with prospective guests regarding quotations, outstanding payments, and unconfirmed bookings.
- Assist in converting guest inquiries into confirmed and fully paid bookings.
- Maintain accurate notes regarding sales conversations and follow-up requirements.
- Support the company’s revenue-generation and booking-conversion goals.
Email Correspondence and Quotation Management
- Respond to guest inquiries and tour-related emails promptly and professionally.
- Prepare accurate and customized quotations for new tour and transfer requests.
- Send tour links, payment links, booking information, and service details to guests.
- Follow up on quotations, confirmations, payments, booking details, and outstanding information.
- Maintain a professional and sales-oriented communication style.
- Coordinate with guests, concierges, travel advisors, tour guides, drivers, and business partners.
Tour Content Review and Updates
- Regularly review tours listed on the Globalduniya / GDTOURS website and external sales platforms.
- Ensure pricing, photographs, descriptions, durations, inclusions, exclusions, pickup information, and policies remain accurate.
- Update tour descriptions to ensure they are clear, engaging, professional, and aligned with current company offerings.
- Report outdated or incorrect information to management.
- Assist with improving the presentation and marketability of tour products.
Product Development and Partner Collaboration
- Work with existing and potential partners to help develop unique tour products and guest experiences.
- Conduct competitor and market research to identify customer demand, market gaps, and new sales opportunities.
- Assist with creating new tour packages, add-on experiences, seasonal products, and customized travel offerings.
- Help maintain positive working relationships with hotels, concierges, attractions, suppliers, and tourism partners.
Tour Expense Tracking and Driver Payments
- Review post-tour forms and ensure all required information has been submitted.
- Update the company’s tour cost and expense-tracking records.
- Record fuel, parking, attraction, meal, ferry, guide, driver, and other tour-related expenses.
- Ensure expenses are recorded accurately before tour sales are finalized.
- Calculate and process driver and tour-guide payments accurately and on time.
- Review reimbursement requests and maintain supporting records.
- Maintain organized records of tour costs, payments, and outstanding amounts.
Bookkeeping and Administrative Support
- Create and maintain individual driver and tour-guide files.
- Review and update driver and guide records annually.
- Track operational expenses that are not attached to a specific tour, including:
- Marketing materials
- Promotional and showcase events
- Administrative purchases
- Office expenses
- Other approved business costs
- Communicate with tour guides and drivers to ensure their availability is updated in the scheduling application.
- Assist with basic bookkeeping, document organization, data entry, filing, and administrative recordkeeping.
- Support other reasonable office, operational, and sales duties as assigned.
Required Qualifications
- Previous experience in the travel, tourism, hospitality, or customer-service industry is required.
- A minimum of one year of tourism-industry experience is required.
- Previous administrative experience is preferred.
- Strong sales, follow-up, negotiation, and customer-service skills.
- Fluent spoken and written English.
- Additional languages are considered a strong asset.
- Strong verbal, written, telephone, and email communication skills.
- Proficiency with Google Workspace, Microsoft Office, and general office software.
- Excellent organizational skills and strong attention to detail.
- Ability to maintain accurate calendars, records, quotations, and financial information.
- Ability to multitask and meet deadlines in a fast-paced environment.
- Professional, reliable, friendly, and customer-focused.
- Comfortable communicating with guests, tour guides, drivers, concierges, partners, and internal team members.
- Comfortable recommending services and asking guests to confirm or purchase additional services.
- Must be able to work independently while following company procedures.
- Must be available to work in person at the Vancouver office Monday to Friday from 10:00 AM to 2:00 PM.
Preferred Qualifications
- Two or more years of administrative experience.
- Experience preparing quotations or processing customer bookings.
- Experience working with tour-booking systems, calendars, spreadsheets, or customer relationship management software.
- Basic bookkeeping or expense-tracking experience.
- Class 4 driver’s licence.
- Familiarity with Vancouver, Whistler, Victoria, the Sea-to-Sky region, and other British Columbia tourism destinations.
- Experience in sales, business development, hospitality, concierge services, or travel planning.
Position Growth
This is a permanent part-time position consisting of approximately 20 hours per week.
As Globalduniya / GDTOURS grows, the successful candidate may be considered for conversion into a full-time position based on performance, business requirements, reliability, sales results, and operational needs.
