The Master of Physician Assistant Studies Program in the Cumming School of Medicine invites applications for a Program Coordinator. This Full-time Fixed Term position is for approximately 13 months (based on length of grant funding), with the possibility of extension.
This position reports to the Program Manager.
The MPAS office oversees 20-40 students' training to become physician assistants. Following policies and standards established by the University of Calgary and the Cumming School of Medicine, the Program Coordinator works closely with the Program Manager to coordinate first-year didactic learning experiences in the program and supports Year 1 faculty members and course leadership to coordinate instruction and ensure consistency in teaching.
The Program Coordinator has the expertise and advising ability to help future and continuing students navigate through policies and procedures to ensure a positive student experience. This position deals with complex advising issues at all levels of the curriculum. There is a high volume of work with peak periods during recruitment, admissions, registration and beginning/end of term; therefore, efficient time management skills are critical in order to ensure that all deadlines are met.
The Program Coordinator frequently connects with Medical Doctors, Physician Assistants and other healthcare providers. To be successful, the incumbent must develop and maintain strong relationships with key internal and external stakeholders.
Ability to work outside of regular work hours when required. The regular workweek schedule is Monday to Friday (0800-1600) with occasional variances in start and end time. The Program Coordinator may be expected to attend events or provide service outside normal working hours.
Summary of Key Responsibilities (job functions include but are not limited to):
Curriculum Support:

Assist the Curriculum and Academic Support Lead in ensuring course outlines are submitted and approved within established timelines

Review and update course materials, syllabi on the D2L site, and quizzes/assessments on examination platforms

Coordinate scheduling and logistics for OSCEs, lab sessions, Impact Week, and other activities related to the Year 1 curriculum

Assist with faculty meetings and ensure clear communication between faculty, students, and administration
-
Help resolve any issues related to teaching or curriculum delivery
Student Support:
-
Provide preliminary individualized guidance for students about leaves of absence, unsuccessful coursework, reappraisal of graded term work, and program withdrawals

Collect student performance data to help improve the curriculum and student learning outcomes

Monitor academic progress and report concerns to Course Leads and Curriculum and Academic Support Lead

Collect preceptor evaluations and feedback, ensuring that data is monitored and issues are addressed promptly to Course Leads and Curriculum and Academic Support Lead
Administrative Tasks:

Maintain accurate records on Year 1 student performance, attendance, and other academic data

Responsible for providing information and resources to prospective and continuing students via email, virtually, by telephone, and in person

Provide advising to students related to admissions, registration, progression, and convocation processes to ensure program requirements are met

Review admission files, with the utmost accuracy and timeliness, to verify application completeness and ensure applicants meet basic requirements to be further considered for admissions

Review and pre-screen all applications, liaising with the Program Manager as needed

Compile admission-related statistics and generate reports as directed

Ensure communications to students and faculty are reviewed and disseminated as appropriate and follow the communication timeline developed by the team

Lead orientation and other first-year student-related events, as needed
Qualifications / Requirements:

Bachelor's degree in a relevant discipline (eg. Education, Business, Health/Science) is required

A minimum of three (3) to five (5) years of progressive experience coordinating educational programs and experiential learning, preferably supporting health professions education programs

Strong time management, project management, organizational skills, and written communication skills

Ability to manage a heavy workload during peak periods

Proven ability to build and maintain strong relationships with external stakeholders

Excellent attention to detail and problem-solving skills
-
Highly developed analytical skills with a proven ability to adapt quickly to effectively changing priorities
-
High level of proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Teams, SharePoint, OneDrive) is essential with a strong ability to adapt quickly to new technology

High level of proficiency in D2L. Experience with One45, MedSIS, ExamSoft and Notion would be beneficial

Demonstrated ability to work independently and in a team environment, with the ability to initiate tasks and determine priorities and deadlines

High degree of judgment, discretion, ethics and professionalism

Demonstrated ability to take initiative and be resourceful, creative and innovative

Knowledge of the University's culture, policies, and practices is preferred
