Job Summary
Rocky Demolition & Asbestos Removal is looking for a motivated, organized, and reliable Office Assistant to join our growing team. This position is ideal for someone with excellent English communication skills, outstanding customer service, and a strong willingness to learn. You will play a key role in supporting our daily office operations by communicating with customers, coordinating projects, assisting with scheduling, and providing administrative support.

Key Responsibilities
- Answer incoming phone calls professionally and respond to customer inquiries.
- Manage company email correspondence and respond promptly to customers and suppliers.
- Provide exceptional customer service by assisting clients with scheduling, service questions, and general inquiries.
- Schedule estimates, inspections, demolition projects, asbestos surveys, and bin deliveries/pickups.
- Prepare estimates, invoices, work orders, and other office documents.
- Perform accurate data entry and maintain customer records.
- Organize and maintain digital and physical filing systems.
- Assist with bookkeeping tasks using QuickBooks, including invoicing and payment tracking.
- Coordinate with field crews regarding project schedules and daily operations.
- Support management with administrative tasks and special projects.
- Order and maintain office supplies.
- Assist with social media updates and basic marketing tasks when required.
- Perform other administrative duties as assigned.
Qualifications
- Excellent written and spoken English is required.
- Previous office administration or customer service experience is preferred.
- Strong communication and interpersonal skills.
- Friendly, professional, and confident on the phone.
- Highly organized with excellent attention to detail.
- Ability to multitask and prioritize work in a fast-paced environment.
- Strong computer skills and proficiency with:
- Microsoft Office (Word, Excel, Outlook)
- Google Workspace (Gmail, Docs, Sheets, Calendar)
- QuickBooks (preferred)
- Ability to learn new software and office systems quickly.
- Positive attitude, dependable, and eager to learn.
- Ability to work independently and as part of a team.
Preferred Qualifications
Experience in any of the following is considered an asset:
- Construction, demolition, environmental, or restoration industry
- Asbestos abatement or hazardous materials services
- Dispatching or scheduling field crews
- CRM software
- Basic bookkeeping
