We are looking for an Administrative Assistant to support daily office operations for a Contract position based in Vancouver, British Columbia. This role is well suited to someone who enjoys creating a welcoming front-of-office experience while coordinating administrative tasks with accuracy and professionalism. You will contribute to scheduling, reception coverage, event coordination, and vendor communication while helping the team stay organized and responsive in a fast-paced IT software environment.
Responsibilities:
- Serve as the first point of contact for visitors, callers, and general inquiries, providing attentive reception and concierge support.
- Coordinate calendars, book appointments, and assist with meeting logistics to keep team schedules organized and up to date.
- Manage incoming and outgoing shipments, track deliveries, and ensure materials are distributed promptly to the appropriate contacts.
- Communicate with external vendors and service providers to confirm requests, resolve routine issues, and maintain smooth office support services.
- Liaise with building operations when on-site concerns arise, following through to help ensure timely resolution.
- Provide administrative assistance to the broader team through data entry, email correspondence, document preparation, and general office coordination.
- Support the planning and delivery of meetings and workplace events, including room setup, scheduling, and attendee coordination.
- Work independently to prioritize daily tasks, respond to changing needs, and maintain efficient front-office operations.
- Previous experience in an administrative, reception, or office support role within a detail-focused environment.
- Strong customer service and communication skills, with confidence handling inbound calls, outbound calls, and email inquiries.
- Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
- Ability to schedule appointments, manage multiple priorities, and maintain accuracy in data entry and documentation.
- Experience supporting customers, guests, or internal stakeholders with sound judgment and a customer-focused approach.
- Comfortable using customer service software and other office systems to track requests and maintain records.
- Able to work independently while remaining dependable, organized, and responsive to team needs.
