Job Overview
We are seeking a reliable and detail-oriented Studio Assistant to support daily operations and to work closely with our Studio Manager. The ideal candidate will be organized, proactive, and capable of handling a wide range of administrative and clerical tasks to ensure smooth and efficient workflow.
Duties
- Manage & organize office files, records & documentation (physical & digital)
- Handle incoming & outgoing communications (phone calls, emails, mail, direct inquiries & relay messages)
- Schedule meetings & appointments
- Prepare correspondance
- Accounting (QuickBooks)
- Order office supplies
- Support management staff with administrative tasks
- Coordinate travel arrangements
- Liaison with IT support & software providers
- Coordinate office activities & events
- Maintain a clean, professional environment
- Orientation of new employees
- Notarize documents
- Maintain library publications & samples
- Organize & order computer equipment
- WSCC administration project related
- Prepare & submit proposals & fee letters
Experience
- Canadian Citizen
- Admin Degree
- Work experience as a Studio Assistant
- Strong organizational & time management skills
- Excellent written & verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, Outlook & QuickBooks)
- Ability to multitask & prioritize tasks effectively
- Attention to detail & problem solving skills
- Professional demeanor & positive attitude
