Overview
We have an exciting new position as the AR Senior Deductions Specialist, reporting to the Accounts Receivable Manager. This role is located at our Vancouver, BC head office, but we are open to remote work for the right person! The ideal candidate will have experience in trade deduction management in a fast-paced environment. Someone who is self-motivated and a team player. This role involves collaboration with the Sales Team, FP&A and the Logistic team. In this role, you take pride in making every customer interaction a positive one. You take customer service seriously while having fun at work with the Vega team. You value integrity, customer service; you take ownership and show initiative in everything you do and are performance driven.

Key Responsibilities

Demonstrate expert knowledge of returns and trade deductions policies, processes, and procedures

Identify bottlenecks & propose changes in current processes to simplify and increase efficiencies for team responsibilities

Collaborate with the Sales team in resolving bottlenecks or disputes with customer deductions management
-
Prepare monthly deductions dashboard for communicating team’s actual vs. target KPI’s

Support AR deductions team to meet the Monthly Targets/KPIs
-
Take a lead on projects and system implementations related to deductions management
-
Process high volume Credit Requests; Debits Notes / Invoices / Refunds into Enterprise Resource Planning (ERP) system within specified timelines

Manage high priority customer accounts in trade and non-trade deductions management by analyzing customer claims for validity to determine action for processing (settle or dispute)

Oversee customer returns and ensure that they are processed in a timely manner

Review transactions in Trade and ROSD areas and support resolving problems using the correct accounting processes and procedures

Create customer reports in NetSuite and Trade Management Tool to provide ease of access to necessary information for reporting and managing deductions

Assess and determine the documentation required to comply with controls while processing credits into ERP. Request support documentation / back-up as required

Support reconciliation of all customer accounts; proactively collaborate with AR team members to ensure credits tied to deductions are issued in a timely manner

Ensure that detailed Standard Operating Procedures are always kept up to date

Continuously advance skillset by accessing educational materials on Microsoft Office applications, Trade Management Tool, High Radius, etc.

Support Accounts Receivable Team by performing ad hoc duties as required

Provide coverage and support other AR functions in the event of unexpected increase in transactional volume

Process intercompany credits in coordination with the accounting team

Meet with the AR Manager regularly to provide progress updates, communicate issues and concerns

Provide support to the AR manager as needed

Support the success of AR through key periods of change by having an infectious, positive, and can-do attitude
Skills & Qualifications
-
3-5 years’ experience in CPG – Deductions Management role
-
Bachelor’s degree / Diploma in Accounting, Business, Economics
-
Experience working in a high-volume data entry environment
-
Pleasant and professional manner

Highly organized with an eye for detail and accuracy
-
Exceptional time management skills and thrives working under pressure
-
Ability to adapt to new ideas and constant changes
-
Self-motivated team player

Advanced knowledge of Trade Management Software

Intermediate knowledge with MS Office (Excel: V lookup’s, pivot tables)
-
Intermediate knowledge of ERP systems (NetSuite knowledge is an asset)
