Primary Purpose: The Residential Real Estate Paraprofessional provides administrative and legal support to lawyers within the Saskatoon office. This position is responsible for the full range of residential real estate transactions including preparing legal documents, managing communication with clients and third parties, and ensuring files are handled efficiently from opening to post-closing and ensuring timely completion of tasks. The position plays a key role in improving the efficiency and effectiveness of legal professionals in the real estate practice area.
This position is based in Saskatoon. Standards office hours apply, with occasional flexibility required to meet deadlines related to tasks. The role involves extended periods of computer use, document preparation, and use and knowledge of various legal platforms. This role requires the ability to manage multiple tasks simultaneously and prioritize under time-sensitive conditions. A high-level of confidentiality, discretion and professionalism in handling sensitive legal and client information is required. Professional relationships are maintained to support effective collaboration with lawyers, management and office staff members.
Accountabilities:
File and Transaction Management
- Organize and maintain residential real estate files from opening through post-closing.
- Diarize key deadlines including condition dates, funding and registration timelines.
- Monitor and track incoming and outgoing funds; prepare trust fund disbursements.
Legal Document Preparation and Filing
- Draft and submit correspondence to clients, law firms, lenders, realtors and municipalities.
- Prepare and manage all transaction documents including transfer documents, mortgage documents, statements of adjustments and statement of receipts and disbursements.
- Register title transfers, mortgage and discharges and all other ISC registrations.
- Prepare invoices, quotes for transactions and management disbursement and time entry records.
Compliance and Due Diligence
- Perform due diligence including, all necessary land titles searches, bankruptcy, Bank Act and tax searches and any further requirements mortgage lenders request.
- Ensure files are handled in accordance with firm policies, client and vender protocols and real estate legislation.
- Stay current with real estate legal rules, registry systems and procedural updates.
Administrative
- Ensure client identification and verification compliance, as applicable.
- Collect required information from clients in a professional and timely manner.
- Enter disbursements and prepare invoices accurately and promptly.
- Post billable and non-billable time daily.
- Provide backup coverage and support for other Residential Real Estate Paraprofessionals, as required.

The incumbent must process a solid understanding of real estate legal procedures. The role requires exceptional organizational and time management skills, with the ability to independently prioritize tasks, meet deadlines, and manage multiple responsibilities in a fast-paced environment.
