We're looking for a motivated and detail-oriented summer student to help complete an important records management and office organization project. This is a great opportunity to gain hands-on experience in records management, document digitization, and office operations while contributing to a meaningful company initiative.
Position Overview
This is a one-month, project-based role focused on organizing historical company records and inventory. The primary responsibility will be digitizing and organizing company documents, while also assisting with the organization and cleanup of an off-site storage locker.
This position is ideal for someone who enjoys organizing information, working independently, and paying close attention to detail.
Key Responsibilities
Document Digitization & Records Management (Primary Focus)
- Sort and organize archived paper documents
- Scan documents into digital format
- Create and maintain a logical digital filing structure
- Index scanned documents by category and year
- Ensure digital records are accurately named, organized, and easy to retrieve
- Maintain confidentiality when handling company records
Storage & Asset Organization
- Sort and organize boxes and contents in the company's storage locker
- Identify items to keep, recycle, donate, or dispose of
- Assist with cataloguing older office and technology equipment
- Coordinate with third-party vendors to recycle or sell equipment where appropriate
- Organize and label remaining inventory for future storage
Qualifications
- Current college or university student preferred
- Strong organizational skills and excellent attention to detail
- Comfortable using computers and office equipment, including document scanners
- Self-motivated and able to work independently
- Reliable, responsible, and trustworthy when handling confidential information
- Able to lift and move boxes weighing up to approximately 25 lbs
- Previous administrative or office experience is an asset but is not required.
