Independent Counselling Enterprises (ICE) supports adults with disabilities to live meaningful, inclusive lives. We provide residential, non-residential, and support home services across Alberta. Our Personnel team ensures staffing, scheduling, and employee support run smoothly so frontline staff can focus on what matters most — quality care.
As a Personnel Coordinator, you’ll be the go-to support for staff scheduling, personnel records, and payroll information. This role calls for someone who is detail-oriented, organized, and an excellent communicator. You’ll work in a fast-paced office environment, balancing multiple priorities while supporting staff and supervisors across ICE programs.

- Prepare, update, and communicate staff schedules for ICE programs
- Coordinate coverage for vacations, sick days, and open shifts
- Maintain accurate personnel files and confidential records
- Provide payroll with accurate staff scheduling information
- Respond to staff inquiries with clarity, professionalism, and respect
- Support supervisors in resolving scheduling or personnel challenges
- Assist with onboarding and orientation when required
- Promote teamwork and positive workplace culture
- Clear and professional communication skills
- Strong organizational and time management abilities
- Comfortable with data entry, documentation, and MS Office (or similar systems)
- Dependable and consistent in meeting deadlines
- Previous scheduling, office administration, or human services experience is an asset
- Clear Vulnerable Sector Police Check (within 6 months)
- Two work-related references
- Calm and professional when handling scheduling changes or staff concerns
- Accurate, detail-focused, and organized
- A team player who values collaboration and problem-solving
- Interested in growing office and leadership skills within ICE
