Key Responsibilities
- Process accounts payable invoices and organize supporting documentation
- Assist with accounts receivable, customer invoicing, and payment follow-up
- Answer incoming telephone calls and direct inquiries appropriately
- Receive, enter, and process customer orders
- Confirm order details, pricing, quantities, and delivery information
- Communicate with customers, suppliers, and internal team members
- Maintain accurate electronic and paper records
- Assist with filing, data entry, document preparation, and general office administration
- Identify missing information, errors, or discrepancies and follow up to resolve them
- Support other administrative and accounting tasks as required
The Ideal Candidate
- Loves details and takes pride in accurate work
- Is highly organized and able to manage several different tasks
- Is dependable, professional, and comfortable taking responsibility
- Has strong written and verbal communication skills
- Is comfortable speaking with customers over the telephone and by email
- Can work independently while also contributing to a team
- Is confident using computers, email, spreadsheets, and accounting or order-entry software
- Has previous experience in administration, bookkeeping, accounts payable, accounts receivable, or customer service
Experience with QuickBooks or similar accounting software would be considered an asset.
