The Ministry of Labour, Immigration, Training and Skills Development, Eastern Region is looking for an Administrative Assistant to provide administrative, financial, and organizational support to the program manager.

In this role you will:
- Prepare budget estimates and monthly budget reports, monitor in-year expenditures, provide input to update the financial system, provide purchasing and procurement services, and provide advice on most efficient use of financial and material resources
- Coordinate various activities and Freedom of Information (FOI) requests for the office
- Provide human resources support
- Provide a range of administrative support services for the unit
You must possess oral French language skills at the advanced level. Your proficiency level will be confirmed before hire.
- knowledge of budget and accounting procedures, practices and financial information systems
- proven ability to prepare unit budget estimates, identify expenditure problems, monitor in-year expenditures, reconcile expenditure reports and prepare regular budget reports
- knowledge of administrative systems, policies procedures, practices and processes (e.g. accommodation, file retention, records management, correspondence tracking system)
- demonstrated experience working with word processing, spreadsheet, and presentation applications
- ability to prepare correspondence, reports and other information products
- ability to operate/maintain common office equipment
- ability to independently resolve a variety of administrative issues and recommend solutions
- ability to identify and prioritize issues for the attention of management or staff, addressing a number of issues concurrently
- you can detect and resolve expenditure issues, monitor/assess in-year expenditures, compile/analyze data to justify budget estimates and expenditures to prepare financial reports
- ability to coordinate, implement, prioritize work and meet deadlines
- oral and written communication skills to respond to inquiries, prepare correspondence and reports
- client service and relationship management skills to work with a variety of clients
- ability to liaise with senior staff and management to coordinate activities
- consultation skills to discuss expenditure issues and problems with management and staff
- ability to present options to decision-makers
