About VoxCell BioInnovation
VoxCell BioInnovation builds perfusable vascularized 3D human tissue models for preclinical drug testing. Our two-photon polymerization bioprinting platform produces living vessels inside engineered tissue, giving pharmaceutical and CRO partners human data that animal models cannot deliver. We operate a 12,000 square foot facility in Victoria, British Columbia, and we are scaling from service work into a catalogued consumable product line.
Role summary
The Facilities and Operations Coordinator keeps the building, the loading dock, and the safety program running so that scientists and engineers stay on the bench. This person owns receiving and shipping, manages contractors and building systems, administers the health and safety program, handles waste and recycling, and coordinates IT and equipment support. The role suits someone who takes ownership of a physical site and enjoys solving practical problems quickly.
Core responsibilitiesReceiving
- Answer the door for couriers, suppliers, and contractors, and accept deliveries throughout the working day.
- Receive, inspect, and log all incoming shipments, including cold chain and controlled temperature deliveries.
- Move reagents and consumables into correct storage on arrival, and treat temperature sensitive items as first priority.
- Verify deliveries against purchase orders and packing slips, and pass documentation to Finance.
- Report damaged, short, or incorrect shipments to suppliers and track resolution.
- Monitor stock levels of high use items and flag reorder points so that experiments never stop for a missing consumable.
Shipping and logistics
- Prepare and dispatch outbound shipments of tissue products and study materials to customers and partners.
- Apply Transportation of Dangerous Goods and IATA requirements for biological and hazardous shipments.
- Pack cold chain shipments and confirm that temperature control holds through transit.
- Coordinate courier accounts, customs documentation, and international freight.
- Track shipments and resolve delivery issues with carriers.
Facility management
- Serve as the primary point of contact for the landlord, building services, and all external contractors.
- Schedule and supervise trades for HVAC, electrical, plumbing, security, and general maintenance.
- Manage preventive maintenance and calibration schedules for laboratory equipment and building systems.
- Oversee gas cylinder and liquid nitrogen supply, storage, and safe handling.
- Maintain access control, keys, and visitor procedures.
Waste and recycling
- Manage all waste streams, including general garbage, recycling, organics, biohazardous waste, chemical waste, and sharps.
- Move waste to collection points and confirm that pickups happen on schedule.
- Coordinate collection with the building, the municipality, and licensed disposal vendors.
- Maintain waste storage areas, bins, and labelling, and keep segregation correct at every station.
- Keep disposal manifests and records for biohazardous and chemical waste.
- Manage cardboard, packaging, and dry ice volumes generated by shipping and receiving.
Health and safety
- Support the occupational health and safety program in line with WorkSafeBC requirements.
Minor repairs and assembly
- Complete small repairs across the facility, including door hardware, knobs, locks, hinges, fixtures, and shelving.
- Mount and install wall equipment such as eyewash stations, first aid stations, signage, whiteboards, and dispensers.
- Assemble and install furniture, benching, storage units, and shelving.
- Select correct anchors and fasteners, and secure all mounted items to hold safely under load.
- Maintain a basic tool kit and a stock of common hardware and fasteners on site.
- Judge when a job requires a licensed trade, and bring one in for electrical, plumbing, gas, and structural work.
IT and equipment support
- Provision laptops, accounts, and software licences for new team members and recover assets on departure.
- Act as first line support for hardware, network, printing, and peripheral issues, and escalate to external IT support when required.
- Maintain the asset register for computers, instruments, and licences.
- Support data backup routines and coordinate vendor service visits for instrument software.
General operations
- Keep shared spaces, meeting rooms, and common areas organized and functional.
- Support onboarding logistics for new employees, including workspace setup and site orientation.
- Assist with visitor and audit readiness when customers, investors, and partners tour the facility.
QualificationsRequired
- Three or more years in facilities, laboratory operations, shipping and receiving, or a comparable operations role.
- Working knowledge of WorkSafeBC regulations and occupational health and safety practice.
- Demonstrated ability to manage contractors and vendors independently.
- Strong organization, record keeping, and follow through under competing priorities.
- Comfort with standard business software and general IT troubleshooting.
- Comfort working on site across laboratory, warehouse, and office spaces.
- Legal authorization to work in Canada.
Preferred
- Experience in a biotechnology, life science, or regulated manufacturing environment.
- WHMIS, biosafety, Transportation of Dangerous Goods, or first aid certification.
- Experience with cold chain logistics and international shipping of biological materials.
- Familiarity with equipment calibration and preventive maintenance programs.
- Experience supporting quality systems or audit preparation.
Compensation
- Base salary: CAD $60,000 annually, depending on experience.
- Equity: Participation opportunity after one year of employment.
