The Payroll Specialist is responsible for the accurate, timely, and compliant processing of payroll for employees and owner operators. This role ensures payroll records are maintained accurately, payroll legislation is followed, and employees receive exceptional support on payroll-related matters. The Payroll Specialist works closely with HR, Operations, and Accounting to ensure efficient payroll administration and continuous process improvement.
Responsibilities include:
Payroll Administration
- Process weekly, bi-weekly, and semi-monthly payroll accurately and on time.
- Review and validate employee hours, vacation pay, statutory holidays, bonuses, deductions, and payroll adjustments.
- Maintain accurate payroll records and payroll system data.
- Process payroll for salaried, hourly employees, company drivers and owner operators.
- Verify payroll calculations and identify, investigate, and resolve discrepancies prior to payroll processing.
Compliance & Reporting
- Ensure compliance with federal and provincial payroll legislation and company policies.
- Prepare Records of Employment (ROEs), T4s, year-end payroll reporting, and statutory remittances.
- Reconcile payroll-related GL accounts, and investigate discrepancies.
- Support month-end, year-end, and payroll audits.
- WCB / CRA remittances and fillings.
- Maintain accurate payroll records and ensure employee information within payroll and HRIS systems remains current.
Employee Support
- Respond to employee payroll inquiries regarding pay, deductions, vacation, and benefits.
- Coordinate payroll changes resulting from new hires, promotions, terminations, and leaves of absence.
- Work collaboratively with HR, Operations, and Finance to resolve payroll-related issues.
Continuous Improvement
- Identify opportunities to improve payroll processes and internal controls.
- Support payroll system enhancements and maintain payroll procedures.
Our ideal candidate will possess the following qualifications:
- Diploma or Degree in Accounting, Finance, Payroll Administration, or a related field.
- PCP (Payroll Compliance Practitioner) designation, or working towards it, is an asset.
- Minimum 3 years of payroll experience in a high-volume environment.
- Experience in the transportation or trucking industry is preferred.
- Strong knowledge of Canadian payroll legislation, CRA requirements, CPP, EI, and Employment Standards.
- Proficiency in Microsoft Excel and payroll/HRIS systems.
