We are currently looking for an Administrative Assistant to join our growing team. We are a plumbing company working mostly with home builders in new construction. This position will be reporting directly to the Office Manager, the administrative assistant's primary role is to provide full office and administrative support to the entire Management team.

Responsibilities (Included but not limited to):
- Answering and directing telephone calls
- Communicate and update information to appropriate team members
- Organize & manage the outlook calendar and correspondence
- Schedule meetings
- Collect data, prepare and distribute reports
- Prepare documents and record information for third parties (builder portals)
- Assist with information or requests from builders, city or other trade partners etc
- Prepare agenda, presentations, proposals and materials for various meetings
- Prepare reports
- Create new folders and labels, format correspondence in consistent templates
- Handle sensitive and confidential material
- Data entry to support accounts payable and accounts receivable processes etc.
- Record invoices and transactions into accounting system
- Maintain filing and system records
- Other duties as required
Skills and Requirements:
- Quickbooks Desktop or Quickbooks Online experience (an asset but not required)
- Microsoft Outlook - Working in Calendars and Scheduling (an asset)
- Ability to work under pressure with conflicting deadlines
- Self-motivated
- Excellent verbal, written and interpersonal communication skills
- Ability to adjust and work with various peronality types
- Good analysis and judgement skills
- Ability to work independently as well as part of a team
- Attention to detail, high level of accuracy and excellent organizational skills
- Proficient in data entry and management

Work Hours:
- Standard hours of work are 7:00 am to 3:30 pm (Monday to Friday with a 1/2 hour unpaid lunch break)
- Overtime is not required
Job Types: Full-time, Permanent
Pay: $21.00-$23.00 per hour
