We are seeking an experienced and organized Executive Assistant to provide top-tier support to our Senior Financial Consultant and team. The ideal candidate will play a key role in ensuring the seamless operation of our practice by managing administrative tasks, client interactions, and team coordination.
Responsibilities
Administrative Support
- Act as the primary point of contact for all client inquiries, providing a professional and welcoming experience.
- Manage and organize the Senior Financial Consultant’s calendar, scheduling client meetings, team reviews, and events.
- Oversee document submissions and transactions, ensuring compliance with company standards.
- Maintain client files and ensure all documentation is accurate, secure, and up to date.
- Prepare meeting agendas, detailed client reports, and monthly progress summaries for the Senior Consultant.
Client Management
- Maintain strong relationships with clients, responding to inquiries and proactively addressing their needs.
- Coordinate the client onboarding process, including document collection, data entry, and follow-up communications.
- Track ongoing client cases, including but not limited to new accounts, transfers, estate files and mortgage applications to ensure smooth and timely completion.
- Manage a weekly follow-up system to ensure all client tasks are addressed and resolved.
Team Coordination
- Manage and support a team of associates by assigning tasks, monitoring progress, and maintaining accountability.
- Organize team meetings and create task schedules to align with client priorities and business goals.
- Assist with event organization, such as client appreciation events or seminars.
- Serve as the direct liaison between the Senior Consultant and the team, ensuring all priorities are communicated and met.
Process Improvement
- Develop and implement efficient processes for tracking client activities, including applications, transactions, and follow-ups.
- Provide quality control and ensure all client-related processes adhere to regulatory and company standards.
- Support the office’s use of Salesforce and other software tools for accurate data management and reporting.
Qualifications
- Minimum 4 years experience in an administrative or executive assistant role (financial services industry preferred).
- Strong knowledge of Salesforce, MS Office Suite (Word, Excel, PowerPoint).
- Exceptional organizational skills and ability to manage multiple priorities in a fast-paced environment.
- Excellent verbal and written communication skills, with a client-focused mindset.
- Ability to handle confidential information with discretion and professionalism.
- Proactive problem-solver with a strong attention to detail and commitment to accuracy.
- Experience managing or coordinating a team is an asset.
