About Mousewood
Mousewood is a nonprofit forest and nature early learning organization in Prince George. We provide licensed childcare, forest and nature programmes, summer day camps, family activities, and community events from our five-acre woodland property.
We have built something meaningful, but we are still a young organization with a great deal of work to do.
Our Executive Director is currently needed in the classroom because of the shortage of qualified Early Childhood Educators. We are therefore seeking a highly capable temporary employee who can take responsibility for much of the administrative, organizational, registration, advertising, and grant-related work that would normally be completed by the Executive Director.
About the Roll
This is not an Executive Director position and does not include independent authority over the organization. The Temporary Operations and Development Manager will report directly to the Executive Director and will be responsible for carrying out assigned priorities, improving administrative systems, completing follow-up work, and helping Mousewood move forward. We need someone who does not simply wait for individual instructions. The successful candidate will be able to look at what needs to be done, organize the work, confirm priorities with the Executive Director, and follow tasks through to completion. A proven record of successfully obtaining grants is essential. Key Responsibilities Grants and Funding Research grant and funding opportunities that are appropriate for Mousewood
* Maintain a calendar of grant deadlines, reporting requirements, and supporting documents
* Prepare clear, persuasive, and complete grant applications
* Gather budgets, statistics, programme information, letters of support, and other required materials
* Follow up on submitted applications
* Complete required grant reports and maintain accurate funding records
* Help develop additional revenue and community partnership opportunities
Licensing and Administrative
Organization
* Review and organize operational files, records, forms, policies, and administrative systems
* Ensure required records are complete, current, accessible, and maintained according to childcare licensing requirements
* Create checklists and systems to ensure recurring requirements are not missed
* Identify missing, outdated, or incomplete documents and follow up until they are resolved
* Maintain organized digital and physical filing systems
* Support preparation for licensing inspections and administrative reviews This position does not independently interpret or change licensing policies. Any questions or proposed changes must be brought to the Executive Director for approval.
Enrolment and Family Communication
* Respond to programme and enrolment inquiries promptly and professionally
* Follow up with interested families
* Provide registration information and guide families through the enrolment process
* Track available spaces, waitlists, registration forms, orientations, and outstanding documents
* Make sure registrations are completed and families receive the information they need
* Maintain accurate enrolment records and programme lists
Advertising and Programme Promotion
* Coordinate advertising for programmes with available spaces
* Review active advertisements regularly to ensure the dates, fees, ages, spaces, and programme details are accurate
* Post approved advertisements on appropriate platforms
* Track which advertisements are active, expired, or need updating
* Follow up on inquiries generated by advertisements
* Help ensure that programmes are promoted early enough to fill available spaces
* Assist with newsletters, community postings, website updates, and other approved communications All public messaging, branding, fees, and programme decisions remain subject to approval by the Executive Director.
Email and Operational Follow-Up
* Monitor assigned email accounts and communication systems
* Respond to routine messages using approved information and templates
* Identify messages requiring the Executive Director’s attention
* Follow up on unanswered emails, applications, registrations, invoices, documents, and commitments
* Maintain a clear task and follow-up system
* Keep the Executive Director informed without requiring her to manage every individual step
Organizational Support
* Turn the Executive Director’s plans, notes, and priorities into organized action lists
* Coordinate multiple projects and deadlines at once
* Prepare documents, forms, spreadsheets, summaries, and tracking systems
* Communicate with families, staff, contractors, community organizations, funders, and government offices as assigned
* Help build reliable systems that can continue after the temporary position ends * Take on additional administrative and development duties as directed by the Executive Director
Required Qualifications
* Demonstrated success obtaining grants for a nonprofit, childcare, education, community, or social-service organization
* Applicants must be able to provide specific examples of successful grant applications and funding obtained
* Strong administrative and organizational experience
* Exceptional follow-through and attention to detail
* Experience managing confidential records and sensitive information
* Strong professional writing and communication skills
* Ability to manage deadlines and competing priorities independently
* Confidence using email, shared drives, spreadsheets, online forms, websites, and administrative software
* Ability to receive direction, ask necessary questions, and complete work without continuous supervision
* Sound judgement about which decisions can be handled independently and which require approval
Strong Assets
* K Experience with licensed childcare administration in British Columbia
* Familiarity with BC childcare licensing requirements
* Experience working for a nonprofit organization
* Experience with programme registration, family communication, marketing, or community engagement
* Experience preparing reports, budgets, funding proposals, or board documents
* Knowledge of early childhood education, outdoor education, or forest and nature school programmes
Authority and Reporting
This position reports directly to the Executive Director.
The Temporary Operations and Development Manager will have responsibility for completing assigned operational work but will not have authority to:
* Change organizational policies
* Make staffing or disciplinary decisions
* Commit Mousewood to contracts or financial obligations
* Change programme fees, schedules, or service models
Represent themselves as the Executive Director
* Make governance decisions on behalf of the Board
* Submit major applications or public statements without required approval The successful candidate must be comfortable working in a role where they are expected to take initiative while respecting clearly defined decision-making boundaries.
The Person We Need We are looking for someone who is practical, organized, persistent, and highly dependable. You must be willing to follow up more than once, notice when something has been missed, and keep working until tasks are properly completed. You should be able to bring order to a busy young organization, protect important deadlines, and help turn good ideas into functioning programmes and sustainable funding. This is a hands-on position for someone who enjoys making organizations work better.
Schedule and Work Location
This is a temporary employee position of approximately 30-40 hours per week. The position is on-site.
Some flexibility in scheduling available, but regular availability during weekday business hours will be required. Because this role involves confidential records, licensing documentation, and close collaboration with the Executive Director, the successful applicant must be located in or near Prince George.
