The Role We are seeking is an organized, empathetic, and detail-oriented Administrative Assistant to support our care coordinators and management team. In this role, you will act as the heartbeat of our office, ensuring seamless communication and providing top-tier service to clients, families, and our caregiving staff.
Key Responsibilities:
Coordinate and adjust schedules for Personal Support Workers (PSWs) and home support aides. Match staff availability/skills with client needs, and manage last-minute shift cancellations. Handle initial inquiries, process service agreements, and guide new clients through the intake process.
Manage company phone lines, respond to emails, and act as the central point of contact for clients, families, and the care team. Accurately update client care plans, track staff certifications/training, and enter information into agency scheduling software.
Process timesheets, verify hours worked by caregivers, and prepare documentation for payroll and invoicing. Determine and establish office procedures.Assist with headhunting, recruiting and onboarding of caregiving staff.Process monthly billing of clients and staff. Greet visitors, ascertain nature of business and direct visitors to employer or appropriate person. Record and prepare minutes of meetings.
Open and distribute incoming regular and electronic mail and other material and coordinate the flow of information internally and with other departments and organizations. Order office supplies and maintain inventory.
Qualifications & Skills:
A diploma/certificate in Human Resource, Office Administration, Health Information Management, or a related business program. Minimum 1-3 years of experience in an administrative, clerical, or customer service role. Experience in a healthcare, medical, or senior care setting is highly preferred. First Aid/CPR certified preferred. Proficiency in Microsoft Office Suite (Word, Excel, Outlook), and the ability to quickly learn new scheduling software. Fast, accurate data entry for managing client files, payroll, and billing. Exceptional communication skills, a high level of patience, and a warm, professional telephone manner. Ability to communicate sensitively with clients (often seniors) and their families. Proven ability to handle sensitive health and personal information with the utmost confidentiality and professionalism. Ability to multitask, manage shifting priorities, and stay highly organized in a fast-paced environment. Capacity to juggle client emergencies, caregiver absences, and routine office tasks simultaneously.
