Our client, a custom home builder & renovations company, is currently seeking a Full-Time Administrative & Bookkeeping Assistant to assist at their busy office location in Collingwood, ON. This is a hands-on role that combines bookkeeping, executive support, project coordination, and general accounting tasks. This is a permanent, full-time opportunity with an annual salary range starting between $55 - $60k per year based on experience.

About The Role
The Administrative & Bookkeeping Assistant is responsible for ensuring the smooth and efficient daily operation of the business. Reporting directly to the Controller, this role provides direct support for a variety of bookkeeping and general accounting-based duties including payroll, AP/AR, account reconciliation and expense tracking. This position is primarily office-based and requires attendance in the office five days per week during standard business hours. The ideal candidate is someone who thrives in a fast-paced environment, enjoys supporting a team, and takes pride in helping a business run smoothly. Other requirements may include:
- Assisting with Payroll Administration by Collecting, Reviewing & Verifying Employee Timesheets & Hours for Accurate Payroll Processing
- Supporting AP/AR Functions, Including Invoice Processing, Payment Tracking & Vendor Communication
- Maintaining Organized Financial Documentation & Ensuring Records are Complete, Accurate & Audit-Ready
- Preparing & Processing Purchase Orders, Expense Reports & Supporting Financial Transactions
- Assisting with Account Reconciliations, Journal Entries & Month-End Accounting Activities Using QuickBooks Desktop
- Coordinating with Vendors Regarding Invoices, Payment Inquiries & Account Discrepancies
- Supporting Budgeting & Cost-Tracking Activities by Maintaining Accurate Project & Operational Expense Records
- Providing Executive Level Administrative Support Including Meeting Coordination, Correspondence, Document Preparation & Confidential Administrative Functions
- Running Business-Related Errands, Including Purchasing Office Supplies, Coordinating Team Lunches & Delivering Vendor Permits
- Assisting with Project Management Software Administration Using Buildertrend (Training Provided)
- Other Tasks as Assigned
Qualifications
- Demonstrated Experience in Bookkeeping, General Accounting & Administration/Executive Support Required
- Experience Within Construction, Renovation, Property Management, or Project-Based Businesses Considered an Asset
- Proficiency With Microsoft Office Suite (Including Outlook, Word, Excel, & Teams)
- Valid Driver's License & Clean Driver’s Abstract
- Strong Organizational & Time Management Skills
- Excellent Verbal & Written Communication
- Familiarity with Buildertrend or Similar Project Management Software Considered an Asset
- Experience Using QuickBooks Desktop Considered an Asset
