We are seeking a highly organized and detail-oriented Administrative Assistant to support daily office operations and ensure efficient workflow across the organization. The ideal candidate is professional, reliable, and proficient in Microsoft Windows and common office software. Strong attention to detail, excellent communication skills, and the ability to manage multiple priorities are essential for success in this role.
Key Responsibilities :
Client relations: Greet client, answer phone calls, and manage correspondence with a professional, welcoming demeanor.
Trade Order Processing & Execution: Prepare, submit and monitor trade instruction (e.g. Redemptions, switches, and contributions). Ensure all documentation is accurate and “in good order” to prevent processing delays
Calendar & Workflow Management: Coordinate client review, schedule appointments, and manage the advisors’ calendars.
Tax Season Support: Assist with intake, document tracking, and assembly of client tax packages during peak seasons.
Data & Record Keeping: Maintain accurate digital files, update client databases (CRM) and handle sensitive financial documents with absolute confidentiality
Administrative support to management and staff:
Prepare, edit, and format correspondence, reports, and other documents.
Process data entry tasks with a high degree of accuracy.
Assist with office organization, supplies management, and general administrative duties.
Review documents and information for accuracy and completeness.
Support special projects and other duties as assigned.
Qualifications Experience:
Previous administrative experience in professional services (financial planning, accounting, tax or legal environments) is highly preferred Education: Office Administration Diploma or equivalent practical experience Technical Proficiency: Strong command of Microsoft Office (particularly Excel and Word) and a proven ability to quickly learn industry-specific software (tax pre and CRM tools)
Pay: $21.00-$23.00 per hour
